 The University of Miami/UHealth Department of Dermatology has an exciting opportunity for a full-time Clinical Program Coordinator. The Clinical Program Coordinator assists in the development, organization, production, and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit. Moreover, this employee provides general oversight to daily program activities in support of the University’s mission. The Clinical Program Coordinator may also monitor the financial performance of programs to meet departmental goals and assists with short- and long-range budgetary planning.

CORE JOB FUNCTIONS                                                                                                

Evaluates program effectiveness, analyzes results, and recommends appropriate action.

Coordinates program activities with other program, department or staff activities, ensuring optimum efficiency.

Trains, develops, and empowers staff to effectively perform their jobs.

Acts as a main point of contact for project funders, advisors, speakers, and participants, and recruits program participants, members, and volunteers.

Develops cooperative relationships with patients and families by projecting a positive image and creating a professional atmosphere.

Develops program communications and promotional literature for distribution, including newsletters, brochures, and flyers.

Prepares periodic reports, financial statements, and records for management or outside agencies.

Maintains patient confidentiality as well as the confidentiality of hospital business information.

Oversees the maintenance of established supply levels in unit and supply rooms.

Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions

Provides administrative support to for Clinical Programs Manager and Clinical Program Director directly overseeing daily operations at the South Miami satellite location.

Provides cross-administrative coverage for all 11 sites as needed.

Assists with departmental OR (operating room) scheduling and coordination with patient.

Schedules assigned to 7 high volume providers, including surgical appointments, bump list, review of volumes to fill slots, communications with UConnect, etc.

Assists department administrators, physicians, clinical and support staff, referring physicians, patients, family members, visitors and other callers in identifies patient-related problems, accesses urgency and proposes corrective actions.

Schedules VIP appointments.

Provides back up support for triage desk.  Answers incoming patient calls, routing based on urgency, answering/ resolving routine requests.

Provides cross-coverage for all administrative functions as needed with Clinical Programs Manager. Performing schedule revisions in collaboration with UConnect support for cancellations, route correspondence, approving overbookings, special requests, handling incoming/outgoing patient inquiries.

Responds to patient inquiries, compliments or complaints promptly and troubleshoot problems for quick resolution ensuring patient satisfaction.

Authorized person to open, close, reduce, add-on appointment slots and sessions as needed.

Authorized person to overbook patient appointments as needed.

Reviews inventory controls, and ordering of clinical supplies

Provides training, orients on In Patient protocols, Insurance verification for surgical procedures for all on site new hires.  Uchart assistance for staff and physicians

Maintains staffing calendars for each satellite office to ensure coverage.

Troubleshoots with Manager as needed regarding clinical flow.

CORE QUALIFICATIONS                                                                                                         

Bachelor’s degree in relevant field

Minimum 2 years of relevant experience

Ability to communicate effectively in both oral and written form.

Ability to handle difficult and stressful situations with professional composure.

Ability to maintain effective interpersonal relationships.

Ability to understand and follow instructions.

Any relevant education, certifications and/or work experience may be considered.
