Clinical Education and Operations Specialist
**Job Description** **ABOUT UW SPEECH & HEARING CLINIC** UW Speech & Hearing Clinic is an outpatient center providing exceptional care to the community while serving as a clinical education and research facility. The clinic is a living laboratory in the Department of Speech and Hearing Sciences, in which graduate students prepare to become speech-language pathologists and audiologists alongside clinical educators who are experts in their field. Graduate students in the UW Speech & Hearing Clinic provide services under the supervision of speech-language pathology clinical educators and audiology clinicians who are nationally certified by the American Speech-Language Hearing Association (ASHA) and licensed by the Washington Department of Health. The Department of Speech & Hearing Sciences has an outstanding opportunity for a **Clinical Education and Operations Specialist** at the UW Speech & Hearing Clinic. The individual in this position functions as a leader for the operations of the UW Speech & Hearing Clinic and as a member of our Clinical Education team, responsible for internal fieldwork operations and processes. The position supports the placement of approximately 110 graduate students in clinical education experiences across our M.S. Educational, Core, and Medical Speech-Language Pathology program tracks, and interfaces with over 250 clinical facilities in Washington and across the U.S. **POSITION PURPOSE** This person will provide customer service along with specialized clerical and technical duties to document, maintain, and follow administrative procedures for clinical education and operations across programs. The position interfaces with many stakeholders within the Department and across multiple university-wide offices. Such stakeholders include the Department’s Chair, Administrator, and Directors of Clinical Education and Student Services teams, Graduate Program advisors, Fieldwork faculty advisers, UW’s Office of the Attorney General, UW Health Sciences Immunization Program, UW Risk Management and HIPAA Compliance, as well as students enrolled in the department’s degree programs. The ideal candidate is a skilled project manager who brings exceptional organizational skills, a strong understanding of academic and healthcare environments, and the ability to communicate complex ideas to diverse audiences. **DUTIES AND RESPONSIBILITIES** **Clinic Front Office and Staff Supervision:** + Oversees day-to-day operations including scheduling and prioritizing tasks. Coordinates front office coverage and reports to Administrator and Department Chair on personnel issues. + Oversees hiring and ongoing management of volunteers and work study students. + Demonstrates professionalism and patience when greeting and interacting with patients and research participants as some may have significant communication challenges due to hearing loss or communication difficulties. **Clinical Fieldwork Coordination:** + Manages internal operations for more than 200 placements per academic year in clinical education experiences across Speech-Language Pathology. + Maintains database of current affiliation agreements with partner institutions. + Maintains and manages all documentation pertaining to clinical rotations, student clinical progress, and compliance requirements in our student clinical tracking system. **Administrative Process Improvement:** + Centralizes and enhances efficiency of administrative tasks including scheduling, documentation, and compliance tracking for practicum and internship placements. **Data and Compliance Management:** + Maintains HIPAA and FERPA compliant security of clinic records and databases. + Oversees the Typhon clinical tracking system to manage student progress, site documentation, contracts, honoraria, and compliance with immunization and HIPAA requirements. **Stakeholder Collaboration:** + Works closely with a wide range of stakeholders including students, clinical education and department leadership, student services, faculty advisers, legal and compliance teams, and external clinical partners to ensure smooth fieldwork operations. + Communicates with a high level of accuracy and professionalism in a timely manner. **Other duties as assigned:** + Other duties may consist of project work or other business needs related to fundraising/advancement and annual school job fair. **MINIMUM QUALIFICATIONS:** + Bachelors degree in Psychology, Social Work, Public Health, Allied health field, or Medical, Business, or Public Administration or a related field + Two years relevant experience including coordinating and communicating with teams. **DESIRED QUALIFICATIONS** + Three to five years of progressively responsible managerial or administrative work experience. + Strong organization and attention to detail, most notably when working with personal health information (PHI), student information (FERPA), and HIPAA compliance. + Excellent interpersonal skills. + Experience working with academic personnel and clinical practitioners. + Knowledge/experience with community-based clinical education models. + Familiarity with Microsoft 365 apps and services (Sharepoint, Teams, Excel, Word) and clinical databases or electronic medical record systems + Familiarity with policies and procedures in public higher education or academic medical institutions. + Comfort with and ability to communicate with and monitor student implementation of clinical compliance requirements (e.g., immunizations, background checks, fingerprinting, CPR, drug screenings, insurance, etc.). **Pay Rate Information** The salary information provided below is for a full-time position and will be prorated for part-time. **Compensation, Benefits and Position Details** **Pay Range Minimum:** $61,368.00 annual **Pay Range Maximum:** $92,064.00 annual **Other Compensation:** - **Benefits:** For information about benefits for this position, visit https://www.washington.edu/jobs/benefits-for-uw-staff/ **Shift:** First Shift (United States of America) **Temporary or Regular?** This is a regular position **FTE (Full-Time Equivalent):** 50.00% **Union/Bargaining Unit:** Not Applicable **About the UW** Working at the University of Washington provides a unique opportunity to change lives – on our campuses, in our state and around the world.
