GENERAL DESCRIPTION
The Clinic Supervisor is responsible for the coordination of day-to-day clinic operations in a medical office practice and monitors the activities of all office operations components to ensure the clinic meets its objectives. The Clinic Supervisor reports directly to the Clinic Manager and advises and seeks consent from the organization’s leadership team to coordinate and manage the activities in the clinic. The Clinic Supervisor is also expected to continue clinical skill development by staffing in the areas of oversight for a mutually determined portion of the FTE. This includes frontline responsibilities for each of the Clinic Supervisor’s areas of oversight.
ROLES & RESPONSIBILITIES
1. Coordinates day-to-day clinic operations and provides support for staffing schedules of providers, nurses, and other team members.
2. Responsible for hiring, onboarding, evaluation, and training development of assigned clinical staff and/or patient access representatives.
3. Provides leadership within the clinic setting in order to ensure effective and efficient office operations, optimizing performance and continually improving the quality of care in a vastly changing health care environment.
4. Possesses an in-depth knowledge of and provides operational support for tasks and job functions performed in areas of responsibility, including protocols, processes, policies, and procedures.
5. Acts as the first-line decision maker with respect to employee relations situations; informs the appropriate Clinic Manager of all employee situations and partners with the manager on high-level situations.
6. Balances team and individual responsibilities; remains open and objective to others’ views; gives and welcomes feedback; contributes positively to team goals; and puts the success of the team above own interests.
7. Follows protocols, processes, policies, and procedures.
8. Seeks guidance from the Clinic Manager as needed.
9. Creates a culture of innovation, learning, teamwork, and professionalism.
10. Coordinates day-to-day clinic financial operations including payroll, accounts payable, and accounts receivable.
11. Participates in budgeting and financial statement preparation.
12. Ensures that EHR work queues are managed daily.
13. Manages compliance with CLIA, OSHA, Safety, Risk Management, and HIPAA.
14. Ensures consistent attendance and adherence to personnel policies.
15. Maintains secure environments for protected health information.
16. Remains aware of clinic, department, and organizational initiatives.
17. Implements Broadlawns strategic initiatives.
18. Supports operational effectiveness and customer service excellence.
19. Performs other duties and responsibilities as assigned.
PERFORMANCE STANDARDS
1. Demonstrates Broadlawns values and standards of behavior.
2. Maintains the required licenses and certifications.
3. Completes annual education and competency requirements within defined timeframes.
4. Understands compliance requirements related to federal healthcare programs.
MINIMUM QUALIFICATIONS
1. Bachelor’s degree or equivalent education and experience.
2. Five years clinic experience.
3. Current RN license recognized by the State of Iowa Board of Nursing; or current LPN license or CMA certification with the commitment to complete a nursing degree program and obtain RN licensure within 30 months of hire.
4. Experience with accounts receivable, billing, ICD, and CPT coding.
5. Strong interpersonal, leadership, and communication skills.
6. Ability to exercise independent judgment and problem-solving.
7. Knowledge of healthcare administration and patient relations.
8. Ability to work collaboratively as a team member.
9. BLS certification.
PREFERRED QUALIFICATIONS
1. Business or healthcare management degree.
2. Two years clinic operations experience.
3. Experience in personnel, budgeting, and computer systems.
