Client Facilities Coordinator
Job Description
This role is tasked with overseeing the smooth transition of Integrated Facilities Management services across various regions. This position requires meticulous planning, effective coordination, and the execution of transition activities to ensure minimal disruption and maintain high-quality service delivery
Responsibilities
•\tDemonstrate advanced Excel skills, including but not limited to Pivot Tables, Vlookups, Xlookups, IF statements and other formulas.
•\tPerform data analysis tasks including consolidating asset data from different resources to upload into Excel templates.
•\tOrganize transition meetings, publish agendas, act as support to IFM transition leads during calls.
•\tDocument, summarize, and publish key points and decisions from meetings, ensuring all stakeholders receive critical information.
•\tProactively prepare presentation materials to effectively communicate key information and insights.
•\tCollaborate with service line SMEs to collect key customization points, update and format content, and publish IFM playbooks.
•\tPopulate and manage tracker and key milestones Smartsheet templates to meet specific project requirements and organizational needs.
•\tIdentify and escalate potential risks to minimize impact and document in the RAID register.
•\tOversee, document, and communicate the progress of transitions to ensure alignment with project goals and timelines.
•\tConfirm schedule and completion of IFM training by workstream leads.
•\tGather, analyze, and organize data to support informed decision-making and project planning.
•\tCreate and refine process maps and workflows to enhance operational efficiency and clarity.
•\tFile Management: efficient storage, retrieval, and security of documents.
•\tCoordinate the gathering of best practices and capabilities to enhance organizational performance.
•\tIdentify and incorporate opportunities for process improvement: Facilitating process development, program enhancement

Qualifications
- Advanced Excel Skills: Proficiency in using Pivot Tables, Vlookups, Xlookups, IF statements, and other formulas
- Data Analysis: Ability to consolidate asset data from different resources and upload it into Excel templates
- Project Management
- Communication: Excellent verbal and written communication skills for interacting with senior management and stakeholders
- Education: A bachelor's degree in business or a related field is preferred
- Experience: Experience in facilities management, project management, change management, or equivalent is a plus
- Technical Skills: Proficiency in data analysis and interpretation to support decision-making
- Project Management Skills: Including risk management, process mapping, and change management
Pay and Benefits
The pay range for this position is $26.44 - $31.25/hr.
