The Department of Mental Health, Brockton Multi Service Center (BMSC) is seeking a talented individual to fill a full-time Clerk III position. The successful candidate will provide registration and reception support at BMSC to greet and register clients for appointments and directing visitors to desired locations. The incumbent will handle and direct all incoming phones to appropriate staff and provide support to the Billing Department.
Please Note: This position is 37.5 hours per week.The selected candidate will work 9:00 a.m. to 5:00 p.m. Days off are Sunday and Saturday.
Duties and Responsibilities (these duties and responsibilities are not all inclusive):
Responsible for welcoming clients, completing registration, securing/confirming demographic details, and maintaining accurate client information in MHIS/CARe.
Follows lunch/vacation coverage calendar created by supervisor for facility wide support staff.
Communicates client arrivals to staff using the Outlook Calendar system and or telephone.
Responds to all incoming telephone calls and efficiently transfers them to appropriate staff.
Provides clerical support to various center-wide committees including administrative support.
Provides backup support to outpatient department clerks and cancels appointments due to unexpected provider issues or inclement weather. Makes outbound calls to clients to confirm upcoming appointments.
Compiles quantitative data to be included into departmental reports.
Primary clerical support to Needs and Means Intake Department.
Retrieves, sorts and distributes facility mail.
Identifies reception needs, requests supplies, maintains inventory for reception equipment issues and submits tickets to IT when necessary.
Maintains professional, courteous, and respectful behavior in all interactions with clients, families, staff, and external service providers.
Completes other tasks assigned by the supervisor.
Required Qualifications:
Knowledge of clerical office practices and procedures including office record keeping, office correspondence types and uses of office equipment and supplies, business letter and report preparation,
Ability to exercise discretion in handling confidential information.
Ability to deal tactfully with others.
Ability to communicate effectively.
Ability to establish and maintain harmonious working relationships with others.
Functional knowledge of Word/Excel/Outlook Calendar management programs.
