Role OverviewThe Capital Markets Assistant manages the activities of the senior staff of Capital Markets and Investor Relations (Sr Managing Partner/Head of Capital Markets, EVP/Capital Markets, and Head of Investor Relations). This is a critically important role as it assists with operational outcomes, works effectively with internal associates and external parties to fulfill commitments, and ensures the execution of key client initiatives. The ideal candidate will possess strong interpersonal and organizational skills, attention to detail, and the ability to handle a variety of responsibilities and competing priorities in a positive and efficient manner.
Responsibilities:
Support the senior team in managing and fulfilling commitments in a wide range of client-oriented activities Manage a robust project tracker and maintain regular communication cadence to provide status updates on all active projects and initiatives.Annual investor conference (AGM) support: arranging internal meetings, coordinating schedules, tracking printed materials, tracking expenses and paying invoices, onsite conference administrative support, etc. Assist in maintaining our CRM system with regular updates around contact interaction, required follow-ups, etc. Support the needs of the senior team (with a strong focus on timing and delivery) and receive needed responses, guidance, and decisions to keep the work of the businesses flowing. Ensure the team is well informed and proactively prepared for upcoming commitments anticipating needs in advance of meetings.Respond to inquiries and requests from internal and external parties by researching issues, gathering data, and providing information when appropriate or filtering inquiries to appropriate staff for resolution or action.Supporting on-site investor meetings including hospitality aspects such as setting out refreshments in advance, ensuring conference room setup (from hosting and working technology aspects); small details like being aware of participant preferences for things like blinds and seating arrangements. are important), ordering meals/snacks when needed, coordinating transportation, reminders for parking validations, etc. Help with meeting materials as needed (reach out to presenters, collect all presentations, help with PPT formatting if needed, etc.Managing team events/outings and team-hosted dinners including hotel blocks, restaurant/event/outside meeting room bookings. Investor meetings: Scheduling on the calendar should be basic. Think about travel time between meetings if they’re not in the office. Prioritize who’s most important to meet with (which requires communication)Maintain a pulse on the business and help connect dots with others across the organization. Initiate routine and non-routine correspondence complete with prepared documents, reports, and other materials.Travel: team members’ preferred airline and seat. Think through “what happens after they get off the plane”. Car service? Uber on their own? Rental car? How pressed are they on time/what city or country are they in/how well do they know the area?If using Cortland plane: when necessary, use the plane calendar to check availability/know how requests should be formattedSoft touch stuff. Dietary restrictions for teammates, types of foods they just don’t like to eat or LOVE to eat, special dates for them, stresses they mentioned (and knowing what should be relayed or is shared privately_ Tour/travel itineraries: Google maps is everything. Be efficient in the tour path (unless there’s a reason need to show them deals in a specific order i.e. to tell a story) and account for some extra fluff in the drive timesHandling expenses Qualifications Mission-driven, culture-focused, and passionate about carrying out an organization’s vision and long-term strategy.Excellent interpersonal skills: ability to deal effectively with senior-level leadership, establish and maintain cooperative working relationships with a wide range of stakeholders.Flexibility to seamlessly react to changes in priorities and new requests while maintaining existing commitments.Demonstrate a friendly, positive, and energetic attitude when interfacing with people both personally and professionally.
