**Key roles**
We have an exciting opportunity to join our Head Office team as a Receptionist and Administration Support.
+ Reception Duties: Cover the front desk Monday–Friday, answer and direct calls, greet visitors, notify staff, and follow security procedures.
+ Administrative Support: Assist the Business Services team with daily tasks and collaborate across departments to ensure smooth operations.
+ Work Environment: This role can involve quieter periods when visitor traffic and calls are low. It is ideal for someone who is comfortable working independently and can use downtime productively.
**Specific responsibilities (including but not limited to)**
+ Greetandassistvisitors, clients, and employees with professionalism, ensuring each guest feels welcome and is directed appropriately.
+ Manage all incoming communications by answering, screening, and forwarding phone calls, and responding to inquiries via phone, email, or in person.
+ Handle challenging or upset callers with composure, using empathy and effective problem-solving skills to de-escalate situations.
+ Coordinate scheduling and manage appointments efficiently to support smooth daily operations.
+ Provide comprehensive administrative support, including filing, data entry, mail handling, andmaintainingoffice supplies.
+ Maintain a clean, organized, and presentable reception andwaiting area at all times.
+ Assist Business Services in delivering administrative support to the CEO.
+ Support the team in all aspects of facility management.
+ Coordinate post and courier services.
+ Performadditionalduties as assigned by the Business Services Department.
**Qualifications/skills**
+ High levelofproficiencyin Word, Excel, and PowerPoint
+ Sound numeric skills
**Experience**
+ Front Desk Operations: Handling phone calls, greeting visitors, managingappointments.
+ Administrative Tasks: Filing, data entry, scheduling meetings, managing correspondence.
+ Customer Service: Experience in roles that involve interacting with clients or the public.
+ Office Software: Familiarity with tools like Microsoft Office (Word, Excel,Teams,Outlook)
+ Multi-line Phone Systems: Experience answering and transferring calls professionally.
