Beacon Hill is seeking a highly organized Administrative & Operations Coordinator to support office leadership and day‑to‑day business operations in a fast‑paced, hands‑on environment. Position Details
Job Type: Full-time, Contract-to-Perm
Pay Rate: $20-$27 per hour (based on experience)
Schedule: Monday-Friday | Flexible hours (7:00 AM-4:00 PM, 8:00 AM-5:00 PM, or 9:00 AM-6:00 PM)
Work Arrangement: Onsite

Key ResponsibilitiesAdministrative & Executive SupportProvide daily administrative support to office leadershipManage company calendars, email inboxes, and shared spreadsheetsAssist with internal projects and recurring administrative tasksAnticipate executive and operational needs and proactively address themOffice Operations & Front Office SupportServe as the front‑office point of contact, welcoming visitors and managing accessMaintain organization across daily office workflowsCoordinate office logistics, including supplies, lunches, morale activities, and eventsSupport internal communications and announcementsFinance & Expense CoordinationManage monthly expense and receipt trackingCollect and submit American Express receipts and expense detailsAssist with invoice processing for employees and vendorsSupport payroll‑related coordination as requestedSales & Operations SupportProvide administrative support related to field sales activitiesAssist with credentialing, badge access, and sign‑in processesSupport lab and operations teams as needed, including special projectsCommunications & ProjectsAssist with internal newsletters and company communicationsSupport special projects as responsibilities evolveMaintain organization across shared documents and systemsSystems & ToolsMicrosoft Office / Microsoft 365 (Excel, Outlook, Word)Shared calendars and spreadsheetsExpense and receipt tracking toolsQualificationsHigh school diploma or GED required; college coursework or degree preferred1-2 years of experience in an administrative, operations, or office support role preferredStrong attention to detail and organizational disciplineAbility to manage recurring responsibilities with consistency and follow‑throughExcellent written and verbal communication skillsComfortable working independently in a fast‑moving environmentBasic Excel proficiency required; willingness to learn more is essentialProfessional, reliable, and proactive mindsetWhat This Role OffersLong‑term opportunity with contract‑to‑hire potentialFlexible onsite scheduleOpportunity to grow into expanded operational and project‑based responsibilitiesHigh visibility and direct support of leadershipCollaborative, close‑knit team environment
