**Responsibilities:**
Implements the day-to-day administrative and operational activities within Student Life Operations and Student Centers & Services. Primary duties include the successful operation of the Campus Information Center and departmental services, project management, human resource processes, budget management, and staff and student supervision. They are a member of the Student Centers & Services team supervised by the Director of Student Life Operations.
**ESSENTIAL FUNCTIONS**
**Project Management**
+ Manages, leads, and guides key business initiatives utilizing organization's standard project management methodology, monitors performance, and recommends schedule changes, cost adjustments, or resource adjustments. Ensures results meet requirements regarding quality, cost and delivery.
+ Leads multidisciplinary project teams and coordinates activities to ensure project objectives are met. Facilitates project meetings using effective meeting techniques for objectives, agendas, participants, and meeting minutes. Develops and maintains reporting dashboards suitable for leadership to communicate project status.
+ Builds and maintains internal departmental relationships. Serves on committees and attends meetings as requested. Leads stewardship teams within the Office of the Dean of Students and Student Life Operations by setting topics for discussion and disseminating information.
+ Leads and facilitates the compilation of data related to the department’s annual report.
+ Develops and maintains policies and procedures for the University Student Life student employment program such as student employee hiring, onboarding, and offboarding. Leads assigned portions of special programs such as awards, celebrations, and all-student employee events.
+ Coordinates departmental attendance at university tabling opportunities. Determines needs, staffing, and ensures successful completion. Provide logistical support for department-sponsored programs and events, assisting with planning, vendor communication, and execution. Support event coordination efforts by reviewing events for accuracy and completing needed workflow steps.
**Department Administration**
+ Serve as the primary point of contact for Student Life Operations, ensuring a professional and welcoming presence for visitors and guests. Manage departmental correspondence, including responding to inquiries (phone and email), drafting communications, and routing information to appropriate staff. Coordinate departmental meetings, including scheduling, preparing agendas, recording minutes, and tracking follow-up actions.
+ Responsible for all human resource processes for professional staff members, TAR employees, and over 100 student employees. These tasks include but are not limited to: candidate recruitment, screening and interviewing processes, HR forms, onboarding, payroll approval, and termination.
+ Interprets and disseminates University policies and communications related to staff and student employees.
+ Primary point of contact for both HR and the Student Employment Office.
+ Captures, compiles, and responds to requests for departmental information requested by other areas of the University.
+ Negotiates contracts with suppliers for services and office supplies. Independently maintains contracts and purchases necessary equipment. Creates budget and tracking system for items required to support the department; including supplies, telecommunications, student employment, and equipment.
+ Creates, audits, and maintains technology and equipment for Student Life Operations. Evaluates technology needs and leads the capital computer equipment purchase for all University Student Life departments under the leadership of the Director of Student Life Operations.
**Campus Information Center**
+ Oversees all aspects of the Campus Information Center (CIC) and Welcome Desk on the 5th floor of Wilson Commons, including the physical spaces, services, and information provided to the campus community. Services include lost/found, keys, directions, campus information, equipment sign-out, same-day room reservations, printing and letter mail support for student organizations, event/prize distributions, and departmental special requests.
+ Builds necessary relationships with a variety of campus stakeholders. Coordinates usage of CIC desk and space by other departments/volunteers. Serves as the primary contact for Undergraduate Admissions staffing at the CIC.
+ Develops and implements operational processes, procedures, and manuals/guides for the CIC staff to improve efficiency.
+ Oversees tracking/inventory systems. Collects and compiles data, develops reports, and uses reporting to recommend and implement new processes including the purchase of equipment.
**Services Management**
+ Develop and manage budgets associated with each service area to ensure fiscal responsibility and effective budget planning.
+ Manage various services and the spaces they operate in, including but not limited to:
+ Departmental Safe Driver Applications
+ Parking Pass Requests
+ Departmental Display Cases
+ Building Keys
+ Swipe Access
+ Manages the two Student Activity Vans, including tracking expenditures and invoicing, vehicle maintenance, and leads the lease renewal process (e.g., collects and interprets university recommendations and provides guidance to leadership).
+ Provides oversight of the online customer service chat bot, including auditing, creating, and maintaining bot data, identifies problems, proposes and implements solutions, trains employees in the system, and maintains relationships with vendor contacts.
+ Enforces Student Centers & Services policies, communicates policies to key stakeholders, and makes recommendations for policy changes.
+ Educate student organization advisors on policies and services available to student organizations. Participates in advisor training.
+ Compiles reports, evaluates data, and makes recommendations to department leadership regarding improvements and implements changes to services to better meet campus needs.
**Student Employment**
+ Supervise, hire, train, and evaluates student staff who are employed at the Campus Information Center (16-18 student employees).
+ Develop assessment tools and learning outcomes for student employees.
+ Is a member of the department’s student employment committee and supports the office’s overall student employment program through trainings, recognition programs, and other tasks.

**MINIMUM EDUCATION & EXPERIENCE**
+ Bachelor’s degree and 3 years of experience in a business operation or administrative role required
+ or equivalent combination of education and experience required
**KNOWLEDGE, SKILLS AND ABILITIES**
+ Ability to gather and organize information and achieve logical conclusions in a timely manner. Weighs alternatives and makes independent decisions that reflect the facts of a situation required.
+ Excellent written and verbal communication skills, adjusting language and/or terminology to meet the needs of the audience required.
+ Works effectively with others to accomplish organizational goals and identify and resolve problems. Shares knowledge and experience and is cooperative with others required.
+ Adept at learning new technologies to perform data entry, manage calendars, and creating reports required.
+ Strong technical skills, including a high level of proficiency in Microsoft Office applications. Proven ability to learn new software and operating systems required.
+ Strong attention to detail, time-management, and organizational skills to balance a variety of tasks with a high degree of accuracy required.
+ Ability to manage a public/front desk workspaces required.
+ Ability to create and manage budgets required.
+ Ability to handle confidential situations and materials required.
+ Ability to resolve problems independently required.
+ Prior supervisory experience preferred.
+ Experience with project management tools and database systems preferred.
+ Familiarity with higher education environment preferred.
