**Job Description Summary**
The Brokerage Specialist provides dedicated marketing, administrative, and transaction support to a single, high-volume brokerage team of six brokers. This role is a critical partner to the team, responsible for managing day-to-day workflow, coordinating client deliverables, maintaining deal and CRM accuracy, and supporting business development initiatives.
The Specialist works directly with assigned brokers and receives functional supervision from the Operations Manager. This position is based in the Rosemont, IL office and requires in-office presence 4 days per week.
**Job Description**
**Team, Marketing, Administrative & Client Support**
• Serve as the primary support partner to an assigned brokerage team, managing a high volume of concurrent priorities
• Collaborate with internal Marketing, Research, Finance, Legal, and Operations teams to support listings, pursuits, and transactions
• Create, format, and maintain client-facing marketing materials using Cushman & Wakefield standard templates including:
Property brochures, proposals, presentation boards, flyers, e-blasts & offering memorandums, tour books, and event invitations.
• Ensure all materials meet corporate branding, quality, and compliance standards
• Develop materials that clearly communicate key selling propositions and strategic differentiators
• Attend strategy sessions and kick-off calls to align marketing deliverables with client goals.
• Prepare maps, aerials, and Excel-based charts and graphs
• Manage distribution of marketing communications
• Support internal and external listing databases
• Provide essential administrative support to brokers, ensuring smooth operations and timely execution of tasks
**Deal Management & Expense Processing**
• Manage deal cycle activities from initiation to closeout, including lease review and final document assembly
• Prepare deal sheets, tracked commissions, pipeline management and coordinate with accounting teams for deal accuracy
• Create Exclusives/Commission Agreements and related approval forms. Track/notify, maintain calendar/list of Exclusive expirations
• Coordinate with Legal and Accounting
• Process broker expense reports in Workday
• Will be required to learn and run various reports utilizing the technology Salesforce and Costar
**Pitches, Proposals & Business Development**
• Coordinate pitch and proposal efforts from intake through delivery
• Conduct research, property searches, and survey of available property options
• Prepare tour books and coordinating schedules
• Execute event logistics including day of support
**Client Relationship Management**
• Maintain CRM accuracy through SalesForce and PowerBI
• Generate project opportunities
• Run reports and track outstanding balances
**_Qualifications_**
+ Bachelor’s degree or equivalent
+ 3-5+ years’ experience in marketing, administrative support or related field
+ Commercial Real Estate Experience a plus
+ Or similar combination of education and experience
+ Excellent oral and written communication skills, including creating and editing marketing materials
+ Proficiency with Microsoft Office Suite
+ Proficiency with Adobe Creative Suite (InDesign, Illustrator, Photoshop) a Plus
+ Detail oriented, self-starter, well organized, able to set priorities and handle multiple projects at any given time, and comfortable working in a fast-paced environment independently
+ Demonstrate strong interpersonal skills
+ History of excellent internal and external customer service

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $ 59,500.00 - $70,000.00
