Brokerage Coordinator
**Job Title** Brokerage Coordinator **Job Description Summary** We are seeking a proactive, detail-oriented, and highly organized Brokerage Coordinator to join Cushman & Wakefield. This individual will provide direct administrative and operational support to an Equity, Debt & Structured Finance (EDSF) team. The ideal candidate will be a self-starter with exceptional communication skills, the ability to multitask in a fast-paced environment, strong business ethics and a commitment to delivering high-quality work. This role is essential in maintaining smooth day-to-day operations and enhancing broker productivity and client service **Job Description** **Key Responsibilities:** Calendar & Meeting Management: Coordinate internal and external meetings, lunch & dinner meetings, strategy sessions, and calls with clients, lenders, and internal teams. Proactively manage scheduling conflicts and meeting logistics. **Travel Coordination:** Arrange complex domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries for road shows, conferences, and client meetings. **Expense Management:** Prepare, process, and track broker expense reports in accordance with company policy; ensure timely reimbursement and proper documentation. **Document Preparation & Formatting:** Assist in the creation and formatting of internal documents, bios and meeting agendas using branded templates. **CRM & Contact Management:** Update and maintain broker contacts, activity logs, and client notes in the CRM system, as advised by brokers. Ensure clean, organized records for tracking outreach and follow-up. **File & Folder Organization:** Maintain shared drive folders, ensuring consistent document naming conventions, version control, and ease of access for brokers and leadership. **Internal Coordination:** Liaise with Marketing, Legal, Research, and Accounting teams to ensure timely delivery of administrative tasks and special requests related to listings or client engagements. **Meeting Prep & Follow-up:** Prepare meeting materials, print packets, and gather relevant background data. Track and distribute follow-up tasks after client or team meetings as advised by brokers. **Reporting Support:** Assist with the generation and formatting of team activity reports, pipeline snapshots, and basic summaries for internal tracking or leadership updates. **Team Logistics & Support:** Help manage team logistics such as printer support, catering for meetings, and coordination of internal team events or celebrations. **Qualifications & Skills:** · Bachelor's degree preferred; relevant administrative or real estate experience may be considered in lieu · 2+ years in a support or administrative role, preferably in a commercial real estate, capital markets or professional services environment · Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with Adobe Acrobat, Workday, CRM platforms, and design tools is a plus · Strong written and verbal communication skills · High attention to detail, accuracy, and follow-through · Ability to prioritize, multitask, and adapt in a fast-paced environment **Work Environment & Reporting:** This is a full-time, in-office position. The Brokerage Coordinator will report directly to the Operations Manager while working closely with assigned brokers for day-to-day priorities and task execution. This role is collaborative and requires a strong team-oriented mindset. The company will not pay less than minimum wage for this role.
