Responsibilities
Provide administrative and office support to a department, service line or local brokerage services department or specialized teamAssist with all aspects of meetings and manage active calendars for a department, service line or local brokerage services department or specialized teamMaintain confidential department records and office files in accordance with internal company proceduresAssist in the creation and/or editing of presentation materials including flyers, leasing proposals, case studies, email blasts, invitations, etc.Utilize standard marketing-approved templates and graphics while assisting in the creation of presentation materials, etc.Proofread and correct spelling, grammatical, and layout errorsCoordinate and assist with collecting, aggregating, and preparing dataUpdate and maintain client databasePrepare expense reports, obtain receipts as needed, and reconcile all credit card chargesAnswer and screen incoming telephone callsCoordinate travel and administer activitiesProvide backup coverage for Front Desk Administrator, when necessaryCode and submit office invoices to AccountingPerform special projects as requiredSort, prepare, and deliver incoming/outgoing mailAssist with updating eCommunity and/or electronic property listingsRequirements
Bachelor’s degree including some coursework in Business, Finance or Real Estate1-3 years corporate business experienceOr any similar combination of education and experienceProficiency with Microsoft Office SuiteExcellent phone and organization skillsAbility to set priorities, meet deadlines, and multitaskStrong writing, editing, and proofreading skillsExcellent verbal and written communication skillsProven record of providing excellent customer service, both internal and externalExcellent interpersonal skillsExcellent attendance and punctualityProfessional appearance and decorum at all timesThe qualified candidate will be detail oriented, able to handle multiple projects simultaneously, extremely professional, and customer service orientedPhysical Requirements
