We are seeking a dedicated Branch Administrator to join our team. The ideal candidate will prepare accounting reports and analysis to reflect P&L by project and crew, assist in the Work-In-Progress report, and support billing, customer relations, and collections. Additionally, you will maintain documentation and reports of work activities, coordinate with leadership for vehicle requirements, and manage timekeeping tasks.
Responsibilities
+ Prepare accounting reports and analysis to reflect P&L by project and crew.
+ Assist in the preparation of Work-In-Progress reports.
+ Support billing, customer relations, and collections.
+ Assist with the creation of project presentation materials.
+ Maintain documentation and reports of work activities.
+ Oversee employee onboarding and offboarding, including I9 completion.
+ Coordinate vehicle requirements and availability with leadership.
+ Manage timekeeping and assist in reviewing timesheets and payroll preparation.
+ Perform a variety of administrative duties, including managing emails, phone calls, mail, couriers, preparing correspondence, and ordering office supplies.
+ Prepare correspondence and other documents as needed.
Essential Skills
+ Proficient in administrative support, data entry, and office management.
+ Experience in accounts payable and receivable, billing collections, and accounting.
+ Proficient with Excel pivot tables and vlookups.
+ Experience in construction, utilities, or union environments.
+ Strong customer service and bookkeeping skills.
+ Proficient use of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
+ Strong organizational and time management skills.
+ Ability to handle multiple priorities and work to meet deadlines.
+ Strong interpersonal and communication skills (both oral and written).
+ Ability to learn quickly, work independently, and prioritize work.
+ Attention to detail and accuracy in preparation and editing of information.
Additional Skills & Qualifications
+ Post-secondary education or a combination of relevant training and related experience.
+ Two years of experience in a similar position.
+ 1-2 years of accounting experience.
+ Construction and/or union experience is an asset.
Work Environment
Work hours are Monday through Friday, 8 am to 5 pm, with potential early starts based on workload or projects. You will report directly to the VP of Operations and work within a small team of fewer than five members.
Pay and Benefits
The pay range for this position is $35.00 - $35.00/hr.
