BMS Administrator

(Integrated Facilities Management – Corporate Environment)

Key Requirements

Qualification: Diploma in Facilities / Property / Real Estate Management, or Building Executive with a minimum of 1 year of relevant experience

Experience Level: Fresh graduates are encouraged to apply

Client Environment: Corporate BPO Office

Work Locations: Multiple sites (Bandar Sunway, Petaling Jaya, Cyberjaya, Bangsar)

Technical Skills: Proficiency in MS Office (especially Excel) and email communication

Core Competencies: Detail oriented, good computer literacy, and accurate record‑keeping

Role Overview

The primary objective of this role is to deliver ID card printing and access control services in a well‑controlled, secure, and efficient manner. The position supports access security operations by managing card inventories, maintaining system databases, administering electronic access systems, and assisting with CCTV system management in compliance with established client processes and policies.

Key Responsibilities

Access Control Administration

Manage the client’s access control system, including ID and HID card printing and access activation using C‑Cure tools

Ensure timely delivery of ID cards in line with agreed Service Level Agreements (SLA) and ServiceNow ticket closures

Collect and deactivate access cards for resigning employees within client-defined timelines

Maintain adequate inventory levels of ID cards, ribbons, cartridges, and system spare parts

Keep an up‑to‑date register of issued, returned, damaged, missing, and in‑stock access cards

Conduct monthly access audits to ensure access permissions align with authorization policies

CCTV & Security System Administration

Operate and maintain CCTV and security systems, including live and recorded footage monitoring for incident reporting

Ensure door access systems function correctly and pose no security or safety risks

Coordinate with vendors and service providers on procurement, preventive maintenance (PPM), and corrective maintenance works

Maintain comprehensive service and maintenance reports for CCTV and access systems

Communicate maintenance and repair activities to management in writing

Perform routine inspections and submit daily and weekly operational reports (e.g. door alarms, CCTV logs, logbooks)

Prepare and escalate incident reports within client‑defined timelines

Conduct investigations when requested by client management

Coordinate with the Jakarta, Indonesia team on C‑Cure system matters and QCIC requirements

Support CCTV and access system modification works, including relocations, additions, and removals

Audit & Compliance Support

Maintain accurate records and execute all tasks in accordance with client security policies

Provide full support during internal and external audits

Perform regular compliance checks to ensure access control practices consistently meet client standards
