The Billing Operations Analyst will be responsible for the day-to-day operation of HPE's Legal Organization’s Outside Counsel billing program including invoice review, researching and resolving invoice issues, managing vendor setup, training end users, and administering billing processes. This person must have strong analytical and problem-solving skills with good judgment and sound decision-making ability and will need a thorough understanding of internal procurement and billing processes. This person must partner with Law Firm billing teams, in-house legal professionals, and Juniper finance, accounts payable, procurement and supplier management organizations.
What you'll do:
Approve, adjust, or reject invoices according to Guidelines, and provide guidance to attorneys on methods for handling non-compliance by outside counsel
Monitor invoices for new timekeepers, rate increases, and discounts
Address invoice audit flags related to Billing Guidelines
Research and act on findings related to account coding to support allocation process with finance teams and attorneys
Research and resolve invoice discrepancies and issues
Communicate with outside counsel in a collaborative style to manage non-compliance with Billing Guidelines, drive and deliver a win-win outcome when the situation arises
Provide feedback on issues faced throughout the year to support updates of subsequent Billing Guidelines
Act as primary billing contact for Firms, accounts payable, and supplier management teams regarding Law Firm billing.
Promptly address day-to-day issues and queries as they arise in an efficient and effective manner
Objective to make all payments on time. No late payments should arise.
Collaborate on special projects, as defined by Legal Billing Manager, which may include preparing ad-hoc reports, system data clean up, process updates, and trainings.
Review and respond in a timely manner to requests and questions from the general Legal Billing email address
Providing ad-hoc reporting and project support to business and initiatives from Legal Team
Optimize/Improve existing processes
What you need to bring:
Key qualifications-
University degree and 3 years relevant hands-on experience.
Good understanding of Legal Operations, Core Accounting, FP&A and Business Organization concepts.
Advance MS-Excel. Knowledge of SAP and Legal e-billing tool.
Competent in analyzing large amount of data.
Must maintain an ability to juggle multiple priorities and effective time management skills.
Strong interpersonal skills necessary to work effectively across multiple functions and with varied levels of management.
Outstanding verbal and written communicator across multiple functions and levels of the organization.
