Billing Coordinator
Billing Specialist – Hybrid (Remote/In-Office as Needed) Location: Tampa, Florida Job Type: Contract to Hire About the Role We’re looking for a meticulous and proactive Billing Specialist to join our growing team. This hybrid role offers the flexibility to work from home with occasional in-office days as needed. You’ll play a key part in ensuring accurate and timely billing operations, collaborating across departments to resolve discrepancies and maintain financial integrity. What You’ll Do + Prepare and process invoices, pro formas, credit/debit memos across multiple systems + Distribute invoices and resolve any delivery or presentation issues + Upload invoices to client AP portals and ensure proper documentation + Review contracts and financial documents to confirm billing accuracy + Monitor client aging reports and validate billing readiness before shipment approvals + Investigate and resolve billing disputes, discrepancies, and RMAs + Collaborate with internal teams to address system import errors and ensure pricing accuracy + Maintain up-to-date billing records and client account details + Process and verify state tax exemption forms, resolving related issues + Stay current with billing standards and compliance requirements + Provide responsive support for billing inquiries with professionalism What You’ll Bring + 3+ years of billing or accounts receivable experience (non-medical preferred) + Strong Excel skills, including pivot tables and VLOOKUP + Proficiency in billing software, accounting systems, and Microsoft Office + Excellent attention to detail and analytical thinking + Strong communication and problem-solving skills + Ability to multitask and thrive in a fast-paced environment + Familiarity with financial regulations and compliance standards Preferred Qualifications + High school diploma required; Associate’s degree preferred + Bachelor’s degree in Accounting, Finance, or Business is a plus + Industry-specific billing experience (e.g., healthcare, legal, construction) + Understanding of GAAP principles Work Schedule & Environment + Standard hours: 8:30 AM – 5:30 PM (or 9:00 AM – 5:30 PM with a shorter lunch) + Extended hours during month-end close (until 6:30 PM or task completion) + Hybrid work model: remote with in-office presence as needed + Business casual dress code in a small corporate office + Office expansion may lead to more hybrid or on-site work in the future Pay and Benefits The pay range for this position is $26.44 - $27.40/hr.
