Job Description
The Billing Coordinator plays a key role in managing the end-to-end billing process, ensuring invoices are prepared, processed, and delivered with precision and timeliness. This position demands strong analytical capabilities, meticulous attention to detail, and a collaborative mindset to effectively partner with internal teams and clients in resolving billing-related issues.
ResponsibilitiesGenerate pro formas, invoices, credit memos, and debit memos across multiple billing platforms.Distribute invoices to clients and troubleshoot any issues related to invoice presentation.Upload invoices to external client accounts payable portals.Review contracts, agreements, and financial documentation to ensure billing accuracy and compliance.Monitor client aging reports to track payment status and validate billing readiness before approving sales opportunities for shipment.Investigate and resolve billing discrepancies, disputes, and return merchandise authorizations (RMAs) promptly.Collaborate with the billing team and management to address system import errors and ensure data integrity.Partner with finance and sales departments to confirm correct pricing, terms, and billing conditions.Maintain up-to-date billing records and ensure client account information is accurate.Process and verify state tax exemption forms; liaise with internal and external stakeholders to resolve related issues.Stay informed on industry billing standards and compliance regulations.Deliver exceptional customer service by responding to billing inquiries with professionalism and efficiency.Essential SkillsHigh school diploma required, Associate’s degree in accounting, Finance, Business Administration, or a related field.At least 3 years of billing experience.Strong knowledge in pivot tables and v-lookups.Proven experience in non-medical billing, accounts receivable, or a related financial role.Proficiency in billing software, accounting systems, and Microsoft Office Suite (Excel, Word, Outlook).Strong numerical and analytical skills with attention to detail.Excellent communication and problem-solving abilities.Ability to multitask, prioritize workload, and meet deadlines in a high-growth, fast-paced environment.Familiarity with compliance standards and financial regulations.Additional Skills & QualificationsBachelor’s degree preferred in accounting, Finance, Business Administration, or a related field.Knowledge of industry-specific billing practices (e.g., healthcare, legal, construction, etc.).Understanding of GAAP (Generally Accepted Accounting Principles).Work Environment
Hours are from 8:30 AM to 5:30 PM, with an option for a half-hour lunch instead of an hour, in which case hours are 9 AM to 5:30 PM. Employees are required to stay until 5:30 PM for shipping, and on the last business day of every month, work until 6:30 PM to bill all shipped items. The position offers a hybrid schedule with work from home and in-office as needed, and the possibility of expanding the office may lead to more hybrid or fully in-office schedules. The dress code is business casual, and the environment is a smaller corporate office site.
Pay and BenefitsThe pay range for this position is $26.44 - $27.40/hr.
