Job Description Summary

Provide administrative support to Global Occupier Services team with particular emphasis on arranging all the billing for this team.

Job Description

Responsibilities:

Liaise with Account leads and CRL’s to ensure the information on the forecasting systems is consistent with invoicingReceiving invoice requests through the forecasting system from the team.Ensure all the information is in place to enable invoicing before the deadlines (Intercompany Agreements, new entity or address set-ups and supporting documentation)Good understanding of the invoicing process from start to endArrange credit notes when requiredCreate process documentation for key activities to support training of new joiners and to comply with audit requirements

Regular tasks:

Complete web-based invoice request formsSupporting the team in setting up projects on BAIT and Salesforce where requiredCode the supplier invoices with the required information and forward it to AP for paymentSupport the team in obtaining any supporting vendor set-up information required by the clientsSubmit accrual requests when necessaryManage customer queries about billing

Requirements:

Bachelor’s degree preferably in Finance, Economics or Accounting (or studies are ongoing)Excellent verbal and written skills in EnglishProven IT skillsApproachable and able to converse with people at all levels within the organisation both internally and externallyStrong organisational and planning skills along with the ability to confidently prioritise tasks in a timely fashionAbility to work under significant pressure within a fast-paced environmentProactive with the ability to work either by his/her own initiative or as part of a team and manage the invoicing on a monthly basis
