Bilingual Office Admin / Accounting Specialist

Our client is seeking a Bilingual Office Admin / Accounting Specialist to join their team. As an Office Admin / Accounting Specialist, you will be part of the support team ensuring smooth daily operations and accurate financial data management. The ideal candidate will have excellent communication skills, strong attention to detail, and a proactive approach to problem-solving, which will align successfully in the organization.
**Job Title:** Office Admin / Accounting Specialist
**Location: Dallas, TX**
**Pay Range:** $23 per hour
**Shift:** 8:30 AM - 5:30 PM, Monday through Friday
**What's the Job?**
+ Provides high-level support and assistance to customers as the first point of contact via phone and email for new leads and general questions/problems
+ Responsible for responding to company Voice Mails
+ Files materials and data sheets as necessary
+ Completes warranty filings by contacting manufacturers and submitting customer and material information upon completion of job and full payment of invoice.
+ Processes company rebates.
+ Mails company materials.
+ Serves as Secretary for company-wide meetings and monthly safety meetings; prepares written materials in English and Spanish, distributes materials; records and distributes minutes.
+ Takes inventory of standard office supplies monthly and presents order to Management for approval prior to processing.
+ Data entry of vendor invoices and accounts payable.
+ Accepts payments via mail, posts and deposits payments per GAAP and banking guidelines and requirements.
+ Prepares required financial reports and additional reports as directed by GM.
+ Matches bank transactions and credit card accounts daily/weekly/monthly in accounting program.
+ Completes CRM and QuickBooks trainings and updates personnel as assigned.
+ Reviews collection reports to determine the status; makes collection calls; and proceeds to refer delinquent accounts to appropriate agencies or attorneys.
+ Performs other duties as assigned.
**What's Needed?**
+ At least two years of general accounting experience.
+ Strong customer service skills with experience in phone and in-person greeting.
+ Proficiency in Microsoft Office Suite, CRM software, and accounting programs like QuickBooks.
+ Excellent organizational skills with keen attention to detail.
+ Ability to review and analyze financial documents and reports effectively.
