The Benefits Specialist position is within the Human Resources team of Episcopal SeniorLife Communities under the direction of the HR Department Manager and Vice President of Human Resources and focuses on providing access to and resolving problems for benefits products that internal employees receive. A proficient understanding of concepts such as employment laws, relevant benefit programs and products, and human resources is helpful for success in this position. 


ESSENTIAL JOB FUNCTIONS 

Responsible for the administration of all agency benefits programs, including, but not limited to, 401(k), health, dental, life, H.S.A, F.S.A, EZAccessMD, vision, Legal/ID Shield, life insurances, voluntary insurances, and tuition reimbursement.Recommends benefit programs to management by studying employee requirements, trends, and developments in benefits offered by other organizations.Develops, coordinates, and delivers benefit presentations for monthly new employee orientation and informal presentations throughout the year including but not exclusive of annual open enrollment. Partners with Benefit Broker and other benefit vedors/providers regularly identify cost effective benefit strategies that meet employee needs.Manages annual Open Enrollment process by establishing annual timeline, sets up OE benefit information meetings, employee communications, sets up educational meetings as needed throughout the year, etc.Serves as the dedicated Benefit resource to all staff, responding promptly and courteously to information requests and concerns. Assists new and all employees with the benefit enrollment process, qualifying event changes/updates and other significant changes impacting employee benefits. Set up and maintain benefits enrollment in HRIS.Set up Health Savings Accounts for new hires.Audits, monitors, and ensures benefit compliance, utilization information and communicates any changes in current benefit plans to existing employees. Builds and runs reports out of Paylocity to manage and monitor enrollments, deductions, and employee changes. Supervises and monitors HRIS changes affective employee benefit eligibility enrollment and ACA measurements. Audits, analyzes to ensure monthly ACA compliance. Run other benefit related reports as needed including any monthly reports.Assists with ESLC recognition programs as needed.Administer and assist employees with Employee Relief Fund.Assists with new employee orientation preparations as needed.


Benefit Administration duties: 

Maintains and processes all Paylocity Employee Action Forms (EAF) and position control forms, status changes and terminations.Monthly audit employee new hire folders for accurate completion in accordance with governing DOH regulations. Oversees COBRA invoicing and payment coordination between payroll and our COBRA administrator. Serves as a resource to employees for COBRA questions as needed. Leads company compliance with government reporting and notification inducing EEOC, ERISA, ACA, and Medicare (monthly, quarterly, and annually). Reconciles monthly benefit bills including but limited to, health insurance, accidental death and dismemberment and life insurance bills. Reviews billings for accuracy, codes, and advances for payment. Resolves discrepancies with carriers, payroll, and the company.  Responsible for processing unemployment claims according to the organization’s guidelines.Provide backup support and assistance with 401k transactions such as employee contributions changes, distributions from the plan account as needed.Monitors premium transmissions to H.S.A bank and manages discrepancies. Identifies any legal requirements and government regulations affective benefits. Ensure that all policies, procedures, and reporting are complying. Working Knowledge of payroll regulations and how benefits deduction and earnings interact with payroll.Assists in obtaining and evaluating benefit contract proposals.Communicate benefit enrollment and premiums collection with employees on Medical leave.Manage all voluntary benefits administration and tuition reimbursement program.All other duties as assigned.


Requirements

QUALIFICATIONS: 

Excellent interpersonal communication and customer service skills. Ability to communicate both verbally and in writing. Must have excellent computer skills (Excel, Microsoft Office, Human Resources software programs). Ability to interact courteously and tactfully. Good organizational skills and ability to handle confidential information.

EDUCATION: 

Bachelor’s degree in Business / Human Resources preferred or equivalent amount of education and experience. 

EXPERIENCE: 

Minimum of three years’ experience in benefit administration.  Healthcare experience preferred.Fluency with ATS’s and HRIS systems required.Must be proficient with Microsoft Office (Word, Excel, PowerPoint).Expertise with all social media platforms.

OTHER:

Strong attention to detail, time management, and organizational skills.Good critical thinking and problem-solving skills.Must be comfortable with social/in-person and electronic networking and building effective recruiting partnerships / relationships.Excellent written and verbal communication skills.Works well as a team member and independently.
