Job Description

The Authorization Coordinator is responsible for confidentially reviewing medical records to ensure proper documentation supports pharmacy prescriptions. This role requires the submission of detailed chart notes and other pertinent documentation to support authorization requests. The coordinator manages the electronic medical records (EMR) work queue for new and resubmitted pharmacy prescription requests to health plans and communicates effectively with clinicians, clinic and finance leadership, clinical team members, patients, and pharmacies.

ResponsibilitiesReview medical records confidentially to confirm proper documentation for pharmacy prescriptions.Submit detailed chart notes and documentation to support authorization requests.Manage the EMR work queue for pharmacy prescriptions related to new and resubmission requests to health plans.Communicate effectively with patients, providers, and insurance companies regarding authorization status.Maintain accurate records of all interactions and documentation related to authorization requests.Confirm active insurance is on file and obtain benefits as required.Ensure proper pharmacy benefit workflow is in place.Follow deferred standard workflow to avoid patient care delays.Collaborate with area Lead and Manager to streamline processes.Coordinate and communicate with clinics, patients, pharmacists, and health plans using smart phrases for consistent messaging.Access EHR to communicate with clinical staff members and/or physicians using referral in-basket messages, pools, or telephone encounters in SBAR format.Manage EHR in-basket(s) and referral work queues according to performance standards.Perform other assigned duties, participate in organizational projects, and adhere to safety, HIPAA, and compliance policies.Provide orientation and training to new staff as assigned.Essential SkillsPrior authorization experienceMedical and retail pharmacy knowledgeData entry proficiencyEPIC system experienceTwo to four years of experience in pharmacy prescriptions requiring pre-authorization in a physician office-based settingAbility to type a minimum of 30 words per minuteHealthcare or related setting experienceMedical terminology knowledgeCustomer service skillsAdministrative skillsAdditional Skills & QualificationsStrong verbal, written, and listening communication skillsExcellent interpersonal and telephone communication skillsLegible handwritingAbility to maintain composure during challenging interactionsBasic math skills for payment collection and cash drawer balancingBasic computer skills including keyboarding, mouse movement, and data entry for practice management system and EHRAbility to effectively organize and prioritize tasksFlexible and cooperative work styleNice to have: Medication authorization knowledgeEPIC and Cover My Meds experienceWork Environment

This position is primarily remote with monthly onsite meetings in Newark, CA. Standard working hours are 7:30 AM to 4:00 PM, Monday through Friday, with optional overtime. The work environment is characterized by constant change.

Pay and Benefits

The pay range for this position is $28.00 - $41.50/hr.
