The Audio Production Assistant supports the administrative and financial operations of the Media & Entertainment (M&E) team in Brazil. This role focuses on process coordination, payment workflows, contract management, and maintaining accurate financial and production records. The ideal candidate is highly organized, detail-oriented, and comfortable handling contracts, invoices, and internal spreadsheets. This position ensures consistent communication and precise documentation for talent and freelancer payments, studio performance tracking, and production deliverables.
Talent & Freelancer Financial Coordination
Request invoices (NFs) from actors and internal freelancers.Organize the monthly payment worksheet, ensuring all values are accurate and up to date.Handle and organize production contracts and financial agreements.Manage related-rights documentation, including receipt submissions and confirmations.Prepare and maintain internal cost spreadsheets for client billing.Performance & Reporting
Create studio and director performance reports, consolidating weekly and monthly data.Administrative Processes & Monthly Closures
Retrieve session data from the session-confirmation board (“pedra”) and confirm recorded rings and PCAs.Double-check accuracy of all talent name spellings.Monthly Closure Communication
On the first business day of each month, update and alphabetize data in the Google Sheets folders (DUB and FREELANCER).Prepare the Outlook email template for monthly closures, ensuring all values and data are correct.Filter, print, or export only the relevant portion of the spreadsheet for each talent.Email all voice actors and freelancers on the first business day of the month.Invoice Management
After sending closure emails (no later than the second business day), begin saving all received invoices.Monitor payment schedules provided by the Finance team.
