Job Description
This role serves as the first point of contact for communication, coordinates internal workflows, assists faculty and departmental administrators with institutional requirements, and provides backup support to the Research Intelligence IRB. The individual in this position will maintain virtual office organization, update IRB external websites and pages, manage the general IRB communications inboxes, maintain schedules for IRB meetings, and coordinate with IRB members. Requirements additionally include maintenance of documents associated with rosters, membership, and accreditation as necessary. The position requires excellent organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced, service-oriented environment.
Job Responsibility
+ Assists the project initiation process by creating project timetables and tracking execution and workflow.
+ Aids the preparation of project status reports.
+ Assists internal and external groups to optimize success of project deployment.
+ Participates in communication with user departments and project teams on project activities.
+ Assists the management to develop tools and metrics to evaluate performance of target initiatives.
+ Helps in driving risk management process improvements, efficiencies and workflow enhancements.
+ Assists in the development and maintains department policies and procedures.
+ Operates with direct guidance and work assignments are generally straightforward and of moderate complexity.

Other Key Responsibilities:
+ Communication Management:
+ Liaison with internal staff to ensure alignment with stated goals and priorities.
+ Manage department shared inboxes.
+ Provide step-by-step assistance with navigating standard operating procedures, templates, and guides.
+ Escalate unresolved problems, frequently asked questions, and identified barriers to leadership.
+ Maintain and update internal and external communication materials, including SharePoint content.
+ Meeting Preparation and Follow-up:
+ Coordinate internal meetings on behalf of research stakeholders, ensuring appropriate timing and preparation.
+ Ensure stakeholders are well-prepared for all meetings, conferences, and events.
+ Maintain member listing and portfolios.
+ Office Management:
+ Maintain standard operating procedures.
+ Maintain detailed templates, guides, and resources aimed to assist researchers, IRB Members, and staff; ensuring documentation is up to date and accessible.
+ Gather feedback from stakeholders to identify areas for improvement.
+ Identify issues that arise within work processes and escalate to team leadership.
+ Maintain organization of documents for audit and accreditation

+ Build and maintain positive relationships with stakeholders by demonstrating reliability, professionalism, and empathy.
+ Other Administrative Support:
+ Perform general administrative duties as needed.
+ Assist in organizing events as needed
Job Qualifications:
+ Bachelor's Degree required, or equivalent combination of education and related experience.
+ 0-1 years of relevant experience, required.
Highly Preferred Skills:
+ Exceptional organizational skills and attention to detail.
+ Excellent communication skills, both written and verbal.
+ Ability to maintain a high level of professionalism and confidentiality.
+ Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., Monday.com, Asana, or similar).
+ Ability to adapt to a fast-paced environment and manage changing priorities.
+ A proactive problem-solver with strong critical thinking skills

The salary range for this position is $66300-$86060/year
