Job Summary:
The Assistant Office Manager supports the Office Manager by managing various administrative and operational tasks, ensuring the smooth operation of the office and providing administrative support. This role involves a blend of administrative, organizational and customer service duties.
Key Responsibilities:
+ Assist in overseeing office operations to ensure a productive work environment.
+ Answer phones, schedules meetings, and maintain office records.
+ Handle expense reporting, invoicing, bill paying, and bank statement reconciliation.
+ Oversee daily activities, such as receiving and distributing mail, managing office equipment, and ensuring a clean and organized workspace.
+ Serves as a point of contact for employees and visitors and assists with event planning.
+ Track deadlines, facilitate communication, and assist with project execution.
+ Address day-to-day challenges, resolve issues, and suggest improvements to office procedures.
+ Work with departments and teams to support their administrative needs.
+ Manage office supplies inventory and place orders when necessary.
+ Assist with scheduling meetings, appointments, and office events.
+ Supports maintenance of office records and ensure proper filing and documentation practices.
Requirements:
+ 2+ years of proven experience in an administrative or office support role; supervisory experience is a plus.
+ Ability to maintain confidentiality and handle sensitive information with discretion.
+ Excellent organizational and multitasking abilities.
+ Strong written and verbal communication skills
+ Attention to detail and high level of accuracy.
+ Customer service skills in providing helpful and friendly assistance to colleagues and visitors.
+ Proficiency with Microsoft Office and tools.
+ High school diploma or equivalent required; associate degree preferred.
+ Must have early morning availability 2-3 days per week, Monday through Friday.
Preferred Skills:
+ Strong problem-solving and decision-making skills.
+ Experience in office budgeting and resource management.
Pay Rate:
+ Starting pay rate is $18/hour
