Assistant Facility Manager

Position Overview

The Regional Facilities Operations Asst Manager is responsible for overseeing comprehensive facilities management operations in India on the Bangalore site with the possibility of future additions within the APAC region. This role requires strong operational leadership, cross-functional collaboration, and a commitment to excellence in service delivery while maintaining the highest standards of environmental health and safety across the APAC region.

Key Responsibilities

Facilities Management Operations

Manage and oversee integrated facilities management operations in Bangalore while extending support within other APAC locations, ensuring consistent service delivery and operational excellence. Lead strategic planning and execution of facilities operations to support business objectives and enhance workplace experience for all stakeholders.

Stakeholder Collaboration & Service Delivery

Collaborating extensively with Site leads to managing integrated facilities management deliverables including housekeeping, pantry services, front office operations, client connects, preventive maintenance programs (PPMs), minor projects execution, and comprehensive invoice and billing management. Ensure seamless coordination between various service providers and internal teams.

Performance Management & Strategic Alignment

Drive operations and performance management initiatives that align with both regional priorities and global strategic objectives. Implement best practices and continuous improvement processes to enhance operational efficiency and service quality across all managed locations.

Goal setting for Subordinates and performance reviews.

Monitor Corrigo dashboard and follow up for WO closure.

Project Management & Compliance Monitoring

Monitor project progress and ensure strict adherence to task deadlines, particularly focusing on Environmental Health and Safety (EHS) requirements and comprehensive reporting obligations. Maintain detailed tracking systems and escalation processes to prevent delays and ensure compliance.

Financial Coordination & Analysis

Analyze and approve ad-hoc requests in close coordination with the Finance team, ensuring proper budget management and cost optimization. Conduct thorough evaluation of requests against operational needs and financial constraints while maintaining service quality standards

 

 

Reporting & Data Management

Generate various comprehensive reports for both Client and Global Leadership teams, including

Monthly Management Reports (MMR)

Quarterly Business Reviews (QBR)

Badge Data

Weekly Operations tracker

Ensure accuracy, timeliness, and actionable insights in all reporting deliverables.

Environmental Health & Safety Leadership

Serve as the EHS champion for the APAC region, promoting safety culture and compliance across all facilities. Lead good catch programs, near miss identification, and incident reporting processes while ensuring timely closure of VSI and DRA work orders.

Coordinate with Global HSE Lead for all global and regional initiatives

Management Information Systems

Oversee APAC Management Information Systems including MMR compilation, QBR preparation, Badge Data management, Leave Data, and safety moment scheduling.

Maintain data integrity and ensure systematic approach to information management.

Cross-Functional Support & Training Coordination

Provide support to cross-functional teams including Procurement, Finance, EHS, and Corrigo systems while coordinating comprehensive training programs. Foster collaborative relationships and ensure knowledge transfer across departments to enhance overall operational effectiveness.

Required Qualifications

Bachelor's degree in Facilities Management, Business Administration, or related field 5+ years of experience in facilities management operations, preferably in multi-site regional capacity

Strong understanding of integrated facilities management services

Experience with EHS management and regulatory compliance

Proven track record in stakeholder management and cross-functional collaboration

Proficiency in data analysis and reporting systems

Excellent communication and leadership skills
