Assistant Facilities Manager

Job Description

Responsibility:
This position is accountable for delivering the FM services at three sites

Tokyo office (Area: approx. 3,000㎡, Employees: approx. 250ppl): On-site

Osaka office (Area: approx. 400㎡, Employees: approx. 35 ppl): Remote

Nagoya office (Area: approx. 220㎡, Employees: approx. 15 ppl): Remote

Tasks:

Client Management

Establish / strengthen credible relationships with key clients.

Interact on a regular basis with key clients to sustain healthy relationships.

Contract Management

Ensure that all Global/Local contracts are implemented with excellence at site and performance is managed.

Site Operations Management

Deliver services as defined in the contract with best practice procedures. This includes the management of Hard & Soft Service such as Reception & Helpdesk / Mail Service / Meeting Room & Equipment / Indoor Plant / Key Management / Cleaning & Pest Control / Office Supply / Landlord Coordination and Liaison / Preventive Maintenance / Life & Safety system / Asset Management / Space Planning / Small Project Management / Energy & Utilities.

Work closely with region team / local stakeholders for seamless operation at site

Implement the technology introduced by JLL & clients such as BI, Corrigo.

Ensure completion of all required audits and achieve targets.

Manage regular reporting such as monthly / quarterly business review, KPI, incident reporting.

Ensure the on-site vendor & visitor management process is compliant with client’s requirements.

Manage emergency response process in case of unexpected events such as earthquake, fire.

Health and Safety Management

Ensure that the operation at site meets all legal and client required health & safety regulations.

Finance Management

Ensure that the site meets all financial targets and control requirements such as budgeting & forecasting.

Other

Ensure all Governance & Compliance is followed as required by both JLL & Client

Required qualifications,
experience, skills and others

Facilities management knowledge and experience

Vendor and contract management experience

Client relationship management skill and experience

Proactive attitude to keep finding the improvement opportunities, propose the improvement plan and execute as planned.

Communication skill to manage the relationship with both local and regional/global team in both English and Japanese
