The TEC department manages technology services for MUFG bank and securities. Its 7 pillars provide services to Bank EMEA and Sec Internationals. **MAIN PURPOSE OF THE ROLE** + Provide executive assistance to multiple, Senior Directors and Managing Directors of the Senior Technology Leadership Team (L2’s) supporting the strategic direction and objectives of the division/ department. **KEY RESPONSIBILITIES** + Effective co-ordination and extensive diary management for multiple technology Senior Executives (3-4 people) proactively identifying priority meetings and ensuring all papers are prepared and available in advance + Co-ordination with Executive colleagues within the MUFG group including the Management Team. Act as host for meetings and events on behalf of the department as required + Co-ordinating schedules for visitors from other parts of MUFG + Dealing with high level queries and management of highly sensitive and confidential information + Planning detailed and comprehensive itineraries, booking travel (flights, hotels, taxis) and where applicable arranging visas + Collating and distributing papers on ad-hoc basis + Collating reports and presentations for committees and on behalf of the Management Team including the Board, International Executive Committees and other high level meetings e.g. with regulators + Overseeing travel, expense claims and leave requests for the respective Management Team as required + Drafting ad-hoc emails and producing high quality communications clearly and accurately (e.g. facilitating internal communication e.g. distributing information (up and down) from the Senior Leadership Team. + Departmental/Division meeting organisation, agenda preparation + New starter set up for Department Seniors where required + Other administrative tasks as advised by line manager + Establish good rapport with peers, senior executives, vendors and business guests **WORK EXPERIENCE** Essential + Executive Assistant/Team Assistant experience (3 years plus) supporting multiple Directors + Prior experience working in a fast paced administrative role in a corporate environment + Experience interacting effectively with Senior Management Preferred: + Financial Services experience + Japanese speaking **SKILLS AND EXPERIENCE** **Education / Qualifications:** Essential + Degree educated or equivalent + Strong IT skills with advance MS office knowledge **PERSONAL REQUIREMENTS** + Excellent communication skills, written and verbal, a clear and concise communicator + Results driven, with a strong sense of accountability + A proactive, motivated approach + Excellent multi-tasking and organisation skills + The ability to operate with urgency and prioritise work accordingly + Strong decision-making skills, the ability to demonstrate sound judgement + A structured and logical approach to work + Strong problem-solving skills + A creative and innovative approach to work + Excellent interpersonal skills + The ability to manage large workloads and tight deadlines + Excellent attention to detail and accuracy + A calm approach, with the ability to perform well in a pressurised environment + A can-do attitude; the motivation and drive to assist team members to the best of your ability + Excellent Microsoft Office skills We are open to considering flexible working requests in line with organisational requirements.
