**Job Description**
The Foster School of Business is seeking an Administrator to join their team!
**JOB DUTIES**
**Administrative Management**
• Provide leadership, council and guidance to the department Chair and faculty with an accurate knowledge of UW and Foster School policies and procedures. Interpret and implement university and school policies, procedures and operations. Actively create, develop and make recommendations to Chair for process improvement and departmental policy.
• Together with the Chair, program offices, advisors, faculty and others develop and establish curriculum and annual teaching schedules adjusting as changes dictate. Oversee process for assignment of teaching schedules and classrooms assignments for faculty.
• Oversight of departmental day-to-day operations.
• Oversight of timely and accurate departmental payroll and faculty compensation.
• Advise and administer academic functions such as graduate programs, student counseling, classroom planning, and registration.
• Act as liaison between Foster School Dean’s office, Academic HR, ISO, ISS, The Graduate School, UW Travel office, ISC and other centralized operations.
• Under the general direction of the department Chair, administer and implement the department's strategic plan. Consistently review strategic goals to be sure the department is working toward this plan.
• Primary point of contact with the department Chair and Foster Dean’s office for academic administration and faculty governance. Partner with the Dean’s office to finalize faculty contracts, appointment actions and promotion packages. ensure timely. Assist chair in managing all aspects of the faculty employment cycle. Including but not limited to composition of position advertisements and on-boarding new hires.
• Ensure compliance with UW HR policies including leave administration and reporting, excess compensation, outside work, etc.
• Manage the department Administrative Assistant and temporary student staff.
• Approve expenditures, including expense transfers, changes and additions to payroll, leave records,
Pro-Card and corporate travel account transactions, reimbursement processes and systems.
**Finance and Budget Management**
• Manage all department and program budgets to include state, gift and endowment, discretionary, revenue and scholarship accounts. Provide budget projections and variance analysis for the Chair and the Dean’s office.
• Oversee the development, modifications, and implementation of the budget for the department providing detailed analysis on expenditures, expenses, reimbursements, payments across budget categories and program activities.
• Oversee and review all department program commitments including professorships, grants, fellowships, monthly spending, allocations, revenue, and faculty development funds from the Dean’s Office and the department grants.
• Audit department payroll in accordance with internal and UW policies in response to changes in responsibilities and assignments of faculty and students.
**Dean’s Office Partnership**
• Liaise directly with Foster School Dean’s office in the establishment of standards, policies, and procedures.
• Assist with development and maintenance of standards of practice and follow-up reference documents.
• Work with Dean’s office to review and monitor timeliness of work and assist with identifying training needs of department and program administrators.
**Events**
• Manage event services for various faculty events, workshops, conferences, and programs for the Department of Accounting. Oversee all event logistics, including staffing, budgeting, venue rental, catering, media support, hospitality, travel, local transportation and special requirements for specific events.
**MINIMUM REQUIREMENTS**
• Bachelor’s degree in business, social science or related field.
• Four years progressively responsible experience in the daily operations of a program or department to include financial, budget, human resources and administrative/organizational management.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
**ADDITIONAL QUALIFICATIONS**
• Proven experience successfully communicating with a diverse group of employees, including the ability to collaborate with professionals of different backgrounds.
• Demonstrated ability to work with a high degree of accuracy and attention to detail.
• Effective and professional oral and written communication skills.
• Ability to meet constant, changing and often overlapping deadlines.
• Demonstrated ability to exercise independent judgment, decision-making, and problem-solving skills.
• Demonstrated ability to multitask, prioritize work and manage a heavy workload with frequent interruptions.
• Successful experience using Workday reports, payroll and fiscal functions.
**DESIRED**
• Demonstrated experience with Workday Adaptive Planning budgeting system.
• Knowledge of University administrative systems and human resources.
• Knowledge of faculty appointment types and restrictions.
• Previous experience working in higher education setting.
• Experience in event planning and execution.
**Compensation, Benefits and Position Details**
**Pay Range Minimum:**
$81,600.00 annual
**Pay Range Maximum:**
$97,236.00 annual
