Administrative Support Specialist
Administrative Assistant – Manufacturing A highly reputable manufacturing company is seeking an experienced Administrative Assistant to join their growing team! This role is perfect for someone who enjoys variety, thrives in a fast-paced environment, and excels at building strong B2B customer relationships. You’ll support multiple departments, attend production meetings, work within the company’s ERP system, and play a key role in ensuring customer orders move smoothly through the process. Responsibilities + Produce and negotiate customer quotations and proposals. + Calculate estimated pricing for potential orders using company price lists and prior customer data. + Process incoming customer orders and verify all information for accuracy (pricing, drawings, shipping details, revision levels, etc.). + Enter purchase orders into the company’s IQMS/ERP system as needed. + Communicate with customers regarding discrepancies, missing information, or questions related to orders, drawings, or documentation. + Collaborate with Master Scheduling and other departments to track and ensure timely movement of orders through production. + Attend daily production meetings and provide updates as needed. + Independently research answers to questions using internal resources, documentation, and previous knowledge. + Provide Reception coverage when needed: answer calls, transfer calls, monitor front entrance, and assist with year‑end filing. + Perform other administrative and support duties as assigned by management. Qualifications + 3+ years of experience in customer service or an administrative role. + Experience working in the manufacturing industry providing customer service or order support. + Proficiency with Microsoft Excel and comfort working within ERP systems (IQMS experience is a plus). + Strong communication skills, attention to detail, and ability to problem-solve independently. Job Type & Location This is a Permanent position based out of Rahway, NJ. Pay and Benefits The pay range for this position is $52000.00 - $62400.00/yr.
