ADMINISTRATIVE SPECIALIST (PART TIME)
Job TitleAdministrative Specialist

Job Description

As an Administrative Assistant, you will play a vital role in ensuring the smooth operation of our projects. You will be responsible for typing and editing master specifications, maintaining specification logs, and preparing documents for review. Your organizational skills will be key in managing bid invitations and preparing bid tabulations. You will also collaborate with specialists to ensure compliance with owner requirements and distribute project addenda.

Responsibilities

Type and edit master specifications as directed.Type project specifications using master specs edited by in-house trades.Maintain the specifications log index.Prepare hard copy and/or PDF specifications for owner’s review.Tag and file office copy of state-approved drawings.Send electronic bid files to Blue Print Services for large projects, or direct to bidders on small projects.Send approved bidders and sub-bidders invitations to bid and directives to obtain documents.Prepare bid tabulations, review bids, and formally enter them into forms.Submit all projects with FM Global.Prepare addenda and distribute them to all plan holders.Assemble construction set specifications.Collaborate with Code Specialist.Reformat specification documents to meet owner requirements.

Essential Skills

High school diploma and a minimum of 2 years of administrative experience.Proficiency with Microsoft Office applications.Strong data entry and administrative support skills.Experience with SharePoint, Deltek VantagePoint, e-Builder, or SpecLink (preferred)

Work Environment

This position offers a hybrid/remote work schedule after a one-month training period. You will work 8-20 hours per week with flexibility to choose consistent workdays. The role requires a professional dress code when working on-site.

Pay and Benefits

The pay range for this position is $19.00 - $22.00/hr.
