This role is an integral part of our administrative services team, serving as a strategic business partner and delivering exceptional administrative support. The Specialized Workforce Agile Talent (SWAT) team provides administrative expertise and solutions, focusing on leadership support and cross-functional project assistance while ensuring excellent customer service.
ResponsibilitiesPartner with all Administrative Assistants within the Center of Excellence to ensure success in all areas.Provide desk coverage for dedicated Administrative Assistants during their absence, including calendar management and meeting/event coordination.Coordinate logistics for meetings and events, both on-site and off-site, including agendas and document creation.Manage global travel arrangements, including visa/passport requests, travel bookings, and expense reports.Deliver general administrative support to team members and leaders at office sites, including data entry, research, and document handling.Assist with workspace changes and assemble and ship gift bags.Serve as a tour guide and meeting escort.Provide on-site support for Virtual Assistants.Offer technical expertise and drive improvements for general administrative tasks.Engage in long-term project ownership and special projects as required.Interact with individuals from all levels within the organization, including customers and community leaders.Essential SkillsMinimum of 2 years of relevant experience.High School Diploma.Proficiency in Microsoft Office and integration of technology into business processes.Strong verbal and written communication skills.Excellent planning and organizational abilities with attention to detail.Ability to manage multiple priorities and changing work demands.Independent judgment and decision-making skills.Strong partnership skills to work effectively across all organizational levels.Integrity and accountability.Ability to influence others for effective results.Learning mindset and change management advocacy.Team-player attitude.Additional Skills & QualificationsAssociate's Degree preferred.Experience in administrative assistance, reporting, LIMS, data entry, and document management.Knowledge in nutrition, science, and GMP.Work EnvironmentThe work schedule is Monday to Friday, from 8 am to 4 pm. The role requires interaction with various levels of the organization and demands a high level of technical proficiency and customer service focus.

Pay and BenefitsThe pay range for this position is $24.00 - $27.00/hr.
