Position Summary
The Administrative Services Coordinator supports daily office operations by ensuring a welcoming, organized, and well-stocked workplace. This role is highly service-oriented and plays a key part in employee experience by coordinating meetings, managing visitors and vendors, supporting morale events, and maintaining common areas and supplies.
Key Responsibilities
Office & Administrative Support
Set up and break down meetings, including room preparation, minimal A/V setup, and seating arrangementsOrder meals and refreshments for meetings, trainings, and office eventsCoordinate calendars and logistics related to on-site meetings and visitorsSupport the security team, specifically with end of day checksEmployee Experience & Morale
Assist with planning and executing employee morale events, celebrations, and engagement activitiesProvide general support to enhance a positive and welcoming office environmentVisitor & Vendor Management
Greet, check in, and escort visitors and vendors as neededBe a support for the facilities team for on-site vendors and service providers when neededIdentify all visitors in compliance with ITAR regulationsEnsure compliance with visitor policies and security proceduresFacilities & Supply Management
Stock and maintain break rooms, kitchens, meeting rooms, and common areasMonitor and replenish office supplies; place and track supply ordersMaintain organization and cleanliness of shared spaces and lobbyGeneral Support
Assist with additional administrative or operational tasks as assignedProactively identify opportunities to improve office efficiency and employee experienceRequired Qualifications
High school diploma or equivalent required5+ years of experience in office support, administrative, hospitality, or customer service roles preferredProficient computer/MS Office skills Strong organizational skills and attention to detailExcellent interpersonal and communication skillsAbility to multitask and manage shifting prioritiesComfortable interacting with employees, vendors, and visitors at all levelsAbility to obtain a security clearancePreferred Qualifications
Experience supporting office operations or facilitiesFamiliarity with meeting coordination, food ordering, or event supportBasic knowledge of office equipment and collaboration toolsPhysical & Schedule Requirements
Ability to be on-site and move throughout the office during the workdayAbility to lift and carry light to moderate items (e.g., office supplies, vendor deliveries)Flexibility to support events that may occur outside standard business hours (occasionally)
Clearance Level
The salary range for this role is:
$21 - $29AeroVironment considers several factors when extending an offer, including but not limited to, the location, the role and associated responsibilities, a candidate’s work experience, education/training, and key skills.
ITAR Requirement:
This position requires access to information that is subject to compliance with the International Traffic Arms Regulations (“ITAR”) and/or the Export Administration Regulations (“EAR”). In order to comply with the requirements of the ITAR and/or the EAR, applicants must qualify as a U.S. person under the ITAR and the EAR, or a person to be approved for an export license by the governing agency whose technology comes under its jurisdiction. Please understand that any job offer that requires approval of an export license will be conditional on AeroVironment’s determination that it will be able to obtain an export license in a time frame consistent with AeroVironment’s business requirements. A “U.S. person” according to the ITAR definition is a U.S. citizen, U.S. lawful permanent resident (green card holder), or protected individual such as a refugee or asylee. See 22 CFR § 120.15. Some positions will require current U.S. Citizenship due to contract requirements.
