Administrative Coordinator - 50K
Position Summary
The Administrative Coordinator is responsible for supporting the day‑to‑day operations of a busy corporate office. This role works closely with leadership, property management, service teams, technicians, and subcontractors to help ensure efficient, accurate, and timely administrative processes across the organization.
Essential FunctionsAnswer phone calls and emails, providing information or routing inquiries as neededSchedule corrective and preventive maintenance work ordersReconcile monthly expense reports for Maintenance Technicians and submit for approval and paymentAssist the Service Coordinator with various operational tasksOrder and pick up supplies and materialsPrepare reports and spreadsheets as requiredMaintain accurate property and facility data within internal shared drivesPrepare invoices for non‑standard servicesSubmit uniform orders for new hires and seasonal needsMaintain organization and inventory for common areas (kitchen, lobby, conference rooms, etc.)Assist with proposals and presentation preparationCoordinate travel arrangements for leadership as neededGenerate weekly work order status reports for managementAdjust schedules and priorities daily based on emergencies or work delaysPrepare required monthly facility reports and additional reporting as requestedEnter and retrieve data within database systemsCommunicate updates related to on‑call schedules, property changes, and service needsCorrigo Lead ResponsibilitiesOversee administrative‑level reporting and trackingSupport Service Coordinators across the full portfolioConduct meetings with Maintenance Technicians and Service Coordinators to ensure system accuracy and consistencySet up and manage vendor informationAssign and submit service requests as neededVerify work orders for all property locationsVerify and process client invoicing for service workAdditional FunctionsSupport Property/Facility and Operations Managers with various administrative tasksPerform other duties as assignedCompetenciesStrong proficiency in MS Word, Excel, PowerPoint, and OutlookClear and concise written and verbal communication skills1+ year of experience in an administrative support role or a combination of education and experience that provides the required skillsTechnical SkillsAbility to operate copiers, printers, fax machines, and standard office equipmentRequired QualificationsHigh school diploma or equivalent1-3 years of relevant administrative experienceValid driver's licensePreferred QualificationsAssociate or bachelor's degree
