GGC is actively searching for an Administrative Coordinator, Program & Impact (1-year Contract)

About this Opportunity
Reporting to the Director, Program & Impact, this role will work closely with Managers & Team Leads within the department to support administrative tasks.
In this role you will:
Provide direct administrative support to the Director of Program & Impact, including flow of communications, meeting management (scheduling, agenda preparation, tracking tasks), document preparation (presentation materials, memos), and following up on action items assigned to director and direct reports.Coordinate and support creation of Program and Impact bi-monthly meetings agendas and materials.Oversee one or more email accounts as needed to support members in a timely manner as they inquire about the various program, training and event activities.Support with data needs to ensure girl and adult awards, trainings and other activities are updated; and mail member recognition pieces such as pins and crests.Create and maintain electronic filing systems and SharePoint sites and support the implementation of new technology and systems, including but not limited to Zoho Desk, event registration systems such as Survey Monkey Apply and Alchemer.Oversee departmental calendar development and updating to ensure the work of our team adheres to timelines of the organization.Coordinate and support creation of Girl & Youth Impact monthly meetings agendas and materials. Liaise with other departments as required, working collaboratively to solve issues and develop ideas for process improvement.On site support for caregiver pick up and drop off and administrative tasks, specifically during summer months. Additional support as neededApply organizational policies regarding inclusivity to content, member communication and customer service.
General
Adheres to all relevant policies, procedures, and practices.Connect with administrative staff from other departments across the organization to find best practices and share lessons learnedLiaise with other departments as required.Provide general, ongoing support to members/volunteers, responding to/directing inquiries and consulting with the appropriate groups and individuals to support the mission and vision of GGC.Other duties as assigned.

Education, Designations and Certifications
Related post-secondary education (Business administration) or equivalent work experience.Prior Work Experience
2-3 years’ experience working in an office environment.Previous experience with database software.Demonstrated ability to provide excellent customer service, both written and verbal.Competencies (Knowledge, Skills & Abilities)
Talent for administrative activities (i.e., detail-oriented, organized, clear communicator, anticipating needs).Strong knowledge of MS Office suite, Office 365 and quick to learn new software.Outstanding initiative and passion for efficient operations while juggling a variety of tasks for various team goals.Highly organized with attention to detail.Collaboration skills with a knack for communicating clearly and diplomatically with staff and volunteers.A passion for getting things on track – organizing systems, overseeing processes, and making things easy for team members.A proven track record of being a positive and energetic team member.Benefits:

Hiring Range: $50,200.00 - $59,260.00
