The College of Pharmacy is looking for an Administrative Associate V to serve as a member of the Office of the Dean team. We desire an individual who subscribes to and supports our commitment as stated above. Required Education and Experience
+ High school graduation or any equivalent combination of education and experience.
+ Five years of experience in general office or clerical work.
Knowledge, Skills, and Abilities
+ Ability to work with sensitive information and maintain confidentiality.
+ Working knowledge of word processing, spreadsheet, and database applications.
+ Strong verbal and written communication skills.
+ Strong interpersonal and organizational skills.

Responsibilities
Office Maintenance
+ Provide front desk reception for the Office of the Dean and serve as the primary contact to internal and external stakeholders.
+ Coordinate lunch times, intermittent breaks, and vacation days to accommodate an 8am to 5pm schedule and ensure the front office remains open as per college policy.
+ Update and maintain accuracy of the College of Pharmacy contact list and building directory.
+ Order all supplies for faculty and staff of the Office of the Dean and pay related invoices.
+ Maintain accurate counts of promotional items and office supplies for the Kingsville campus.
+ Assist with asset and property audits and end-of-year inventory.
+ Organize and serve as a steward of the supply and ice/copy rooms.
+ Collect and distribute mail to faculty and staff of the College of Pharmacy.
+ Keep accurate records of maintenance requests, including table and chair reservations for College of Pharmacy events.
+ Help new faculty and staff members with key requests and preparing office space.
+ Aid guests by requesting and providing parking permits and general assistance.
+ Submit work orders for cleaning, repairs, and general maintenance
Clerical Support
+ Answer phone calls to the College of Pharmacy while maintaining a high level of professionalism and providing superior customer service.
+ Greet visitors and provide recruitment information and help direct them as needed.
+ Transfer and forward calls and take detailed messages for College of Pharmacy faculty and staff.
+ Work closely with office staff to maintain the Dean’s calendar by scheduling meetings, sending out relevant communications, and making room reservations.
+ Send reminders to faculty and staff of their meetings with the Dean to include relevant information, such as location and updated times and handouts.
+ Create memos and letters for the Dean, Director of Assessment, Director of Program Development, Director of Student Success, and Director of the Aggie Pharmacy Technician Program with a high level of accuracy.
+ Prepare documents and create and maintain spreadsheets and databases.
+ Keep the Dean’s memberships in civic, state, and professional organizations up to date, including login and contact information.
Event Support
+ Assist with College of Pharmacy events, including logistical planning, setup, and takedown.
