Create and maintain files, compile reports, and manage, store, and disseminate information, ensuring security and compliance of information. Assist in planning department activities, manage meeting calendars, and make travel arrangements. Track expenses, monitor and order supplies, and schedule maintenance repairs. Remain knowledgeable of group / department policies. May make contacts of a sensitive, complex, and confidential nature. May work for one or several department professionals, division heads, officers, or managers. **Learn more about the great benefits of working for University of Utah: benefits.utah.edu** **The department may choose to hire at any of the below job levels and associated pay rates based on their business need and budget.** **Responsibilities** **Administrative Assistants, III** + Greet and direct visitors to the appropriate office or person. + Manage the Dean’s calendar and general email account, responding to inquiries. + Support the leadership team with calendar management and meeting coordination. + Answer incoming calls and route them accordingly. + Room/ scheduling support for the CSBS Dean’s Office and NEXUS Core. + Assist Associate Deans with communications to faculty and staff i.e., the faculty and staff newsletter and other college and university announcements. + Coordinate with administrative team members to support faculty document maintenance such as Retention, Promotion, and Tenure, Faculty Leave, and Tenured Faculty Reviews. + Maintain college records such as directories and listservs. + Sort and distribute incoming and outgoing mail and packages. + Perform clerical tasks, including copying, scanning, data entry, and filing. + Draft memos, reports, and other documents as needed. + Maintain and replenish general office supplies and printer maintenance. + Coordinate meetings and college events, including invitations, catering orders, and scheduling. + Provide administrative support to the CSBS Events Team. + Coordinate travel arrangements via Concur for the Deas, Dean’s Office Staff, and Dean’s Guests. + Provide administrative support for the College’s annual awards process. + Manage scheduling and offer administrative support for college-level committees. + Assist the Director of Accounting and Finance with P-Card expense reports, reimbursements, and workflow approvals. + Serve as the Travel and Department P-Card holder, ensuring compliance and accurate documentation. + Prepare ePR requests that fall under the Dean’s Office + Support purchases via P-Card and Ushop requisitions + Perform additional duties as needed to support office operations. **Minimum Qualifications** **EQUIVALENCY STATEMENT :** 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience). **Administrative Assistants, III :** Requires 3+ years of related experience. **Preferences** **Type** Benefited Staff **Special Instructions Summary** **Additional Information** _The University of Utah values candidates who have experience working in settings with students from diverse backgrounds and possess a strong commitment to improving access to higher education for historically underrepresented students._ _Individuals from historically underrepresented groups, such as minorities, women, qualified persons with disabilities and protected veterans are encouraged to apply.
