Administrative Assistant to General Manager of Hospitality
Position SummaryThe Administrative Assistant to the General Manager provides high-level administrative, coordination, and operational support to the General Manager of Food & Beverage / Hospitality at Moscone Center. This role supports senior leadership in a fast-paced, high-profile convention and events environment and requires strong organization, professionalism, discretion, and attention to detail.The Administrative Assistant works closely with internal departments, Legends Global leadership, City & County of San Francisco partners, clients, and vendors to ensure smooth day-to-day operations and effective executive support.Key ResponsibilitiesAdministrative SupportProvide day-to-day administrative support to the General Manager, including calendar management, meeting coordination, travel arrangements, and expense reportingCoordinate meetings, prepare agendas, take notes, and track follow-up action itemsManage confidential and sensitive information with professionalism and discretionCommunication & CoordinationServe as a point of contact between the GM and internal teams, Legends Global corporate leadership, City representatives, clients, and vendorsDraft, edit, and distribute professional correspondence, reports, and internal communicationsCoordinate leadership visits, meetings, VIP walkthroughs, and site toursOperational & Business SupportTrack deadlines, approvals, and follow-ups across Food & Beverage, Operations, Sales, Finance, and City partnersAssist with preparation of reports, revenue summaries, presentations, and departmental documentsMaintain organized electronic and physical filing systems for contracts, reports, and recordsSupport coordination of union-related meetings and compliance documentation as neededProjects & Events SupportAssist with administrative and logistical support for major conventions and events (e.g., Dreamforce, Microsoft Ignite, large-scale concerts)Support special projects, initiatives, and departmental programs led by the General ManagerCoordinate internal meetings, planning sessions, and team communicationsQualifications & Experience3–5+ years of executive assistant experience in an administrative assistant or office support roleExperience in hospitality, convention centers, events, or large-scale operations preferredExperience working with public-sector or municipal partners is a plusStrong organizational, time-management, and multitasking skillsExcellent written and verbal communication skillsHigh level of professionalism, discretion, and attention to detailProficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration toolsAbility to work effectively in a fast-paced, deadline-driven environmentKey CompetenciesStrong administrative and coordination skillsProfessional judgment and reliabilityAbility to manage multiple prioritiesDetail-oriented with strong follow-throughService-oriented and team-focused mindsetWork Environment & Schedule100% Onsite position at Moscone CenterFlexibility is required during peak event periods and leadership visits

COMPENSATION: $36.00-$39.00 per hour.
