As an Administrative Assistant in the Commercial & Investment Bank, you will perform a variety of administrative functions requiring confidentiality, initiative, and sound decision-making for executives, their team of managers, and other stakeholders. You will leverage your years of experience as an Executive Assistant to adapt to change and deliver flawless work output.

Job Responsibilities:

Manage complex and detailed calendars, handling multiple and urgent meeting conflicts, and setting up meetings and conference calls internally and externally. Handle all associated logistical aspects of meetings and conference calls. Work in a fast-paced, ever-changing environment, effectively handling multiple priorities with a calm, professional attitude. Provide telephone coverage, answering phones professionally, addressing issues or redirecting as appropriate, and distributing messages timely. Coordinate travel arrangements, including air, hotel accommodations, and ground transportation; prepare detailed itineraries and required travel documents. Process invoices and T&E expense claims for team members, ensuring compliance with policies and timely processing. Assist with overflow, special projects, assistant back-up coverage, and day-to-day tasks.

Required Qualifications, Capabilities, and Skills:

Minimum of 5 years of experience in an Administrative Assistant role within financial institutions. Strong interpersonal and partnership skills, with the ability to develop relationships with peers and clients. Willingness to take on increased and/or new responsibilities at any time. Tact and good judgment in confidential situations, with proven experience interacting with senior management. Ability to adapt procedures, processes, and techniques to complete assignments. Experience in calendar management. Excellent telephone etiquette.
