**Location:** Washington, D.C. 20005 (Hybrid) **Schedule:** Tuesday – Thursday On-site | Monday & Friday Remote **Pay Range:** $36.00 – $41.00 / hour (W2) **Duration:** Contract through August 28, 2026
**The Opportunity**
We are seeking an experienced, self-motivated Administrative Assistant / Office Manager to support the Washington D.C. office of a top-tier global financial services group. This is a high-visibility role that requires a professional capable of multitasking in a fast-paced corporate environment while maintaining a collaborative, team-oriented attitude.
The ideal candidate is a proactive problem-solver who takes initiative, is eager to learn, and can manage the logistics of a busy executive office with precision.
**Key Responsibilities**
+ **Travel & Expense Management:** Coordinate complex business travel bookings and process reimbursements using **Concur** . Manage submission and tracking of all departmental expenses.
+ **Meeting Coordination:** Schedule and host in-person and online meetings. Manage reception rooms for external guests, including catering coordination and dinner reservations.
+ **Office Operations:** Manage procurement of office supplies and business cards via **Coupa** . Handle building maintenance requests and maintain the office handbook.
+ **Logistics & Support:** Deliver, copy, scan, and file documents, letters, and packages. Maintain team contacts and distribution lists.
+ **Executive Support:** Respond to ad-hoc requests and provide high-level administrative assistance to the leadership team as needed.
**Qualifications & Skills**
+ **Experience:** 10+ years of administrative experience, preferably within a corporate or financial services environment.
+ **Technical Proficiency:** Advanced skills in **MS Office Suite** (Excel, Word, PowerPoint, Access) and **Outlook** .
+ **Systems Expertise:** Hands-on experience with **Concur** (travel and expense) is required. Experience with **Coupa** is a major plus.
+ **Communication:** Strong written and oral communication skills; ability to form positive professional relationships.
+ **Organization:** Excellent time management skills with a proven ability to prioritize work and meet deadlines under pressure.
+ **Education:** Bachelor’s degree is preferred.
+ **Language Skills:** Ability to read, write, or speak **Japanese** is highly preferred but not required.
