Position Information Posting NumberSRGV8759 Working TitleADMINISTRATIVE ASSISTANT II Number of Vacancies1 LocationEdinburg, Texas DepartmentStudent Rights and Responsibilities FTE1.0 FLSANon-Exempt Scope of Job To provide skilled administrative support to the Dean of Students ( DOS ) and routine administrative support to DOS /Student Affairs units (ex., Student Rights and Responsibilities, Student Accessibility Services, Chess Program). Maintains financial data, which includes monthly budget and status reports; coordinates purchasing and related documentation and reconciliations; assists with student employee onboarding; and helps ensure daily front-office multi-department operations run smoothly during normal business hours. Description of Duties + Provides direct administrative support to the Dean of Students. + Creates letters, memos, reports, requisitions, and other material based on generic direction. + Prepares agenda for meeting, schedules meetings, records and distributes minutes of meetings; assists with meeting and event logistics. + Handles travel arrangements for supervisor and other office personnel. + Responsible for all routine administrative functions and correspondence. + Serves as first point of contact for and screens callers and visitors; assists with the management of departmental email accounts and correspondence. + Manages designated staff and office calendars. + Acts as receptionist. + Orders supplies and maintains inventory; processes purchase orders and reimbursements; and arranges for equipment repair and facility maintenance. + Organizes and maintain records and filing systems. + May assist in processing various student forms and requests for the appropriate review and approvals. + May provide general program information and materials to students and/or direct students to the appropriate student services resources. + May assist in coordination, planning, and/or staffing of departmental meetings and events as needed for outreach, recruitment & education. + Processes personnel actions upon direction of the supervisor, including the recruitment, selection, onboarding, and supervision of student employees. + Monitors expenditures and income against the budgets, maintains accurate accounting ledgers and facilitates monthly reconciliations of accounts. Maintains a wide variety of academic, fiscal, personnel and administrative records and files consisting of confidential and official matters, including electronic records, in compliance with the Family Educational Rights and Privacy Act ( FERPA ), record retention schedules, and other university policies. + May assist in the preparation of budgets, grant requests, class schedules and other periodic reports. + Performs other duties as assigned. Supervision Received General supervision from the Dean of Students. Supervision Given May supervise support staff and temporary/student employees. Required Education Associate degree in a related field or experience as outlined below. Preferred Education None. Licenses/Certifications None. Required Experience Three (3) years of office administrative experience. Experience may be substituted for education on a 1-on-1 basis. Preferred Experience Experience obtained within higher education. Equipment Knowledge of the use of personal computer, word processing, spreadsheet, and database software. Standard office equipment. Working Conditions Needs to be able to successfully perform all required duties. Work is performed primarily in a general office environment. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. The role includes availability for work beyond regular office hours, including evenings and weekends, as needed. A fast-paced and stimulating environment that requires adaptability, problem-solving skills, calm demeanor, and a strong ability to navigate unexpected challenges and provide effective support. UTRGV is a distributed institution. This position is primarily based in the Edinburg campus but may require occasional travel to the Brownsville campus or other locations in the Rio Grande Valley. The position requires attention to detail, flexibility, and self-motivation to respond to the dynamic and fast-paced nature of the units.
