Administrative Assistant I

**CTG is seeking to fill an Administrative Assistant I position for our client.**
**Location:** Richland, WA
**Duration:** 12 months
**Duties:**
+ Perform advanced, diversified, and confidential administrative duties under direct supervision.
+ Provide day-to-day administrative and office management support for the department.
+ Perform administrative activities on behalf of management, including frequent interaction with internal staff and external contacts.
+ Maintain documents in accordance with established recordkeeping requirements.
+ Prepare travel authorization and expense forms; coordinate travel arrangements in accordance with procedures.
+ Monitor department personnel qualifications to ensure compliance and timely maintenance.
+ Facilitate onboarding of new department staff, including supplies, equipment, office orientation, and required documentation.
+ Schedule performance appraisals and prepare personnel-related paperwork and records.
+ Prepare reports, correspondence, and presentations, often confidential and for senior management or board-level audiences.
+ Receive and direct in-person and telephone inquiries, including must-answer lines, serving as a first point of contact.
+ Distribute department mail and faxes daily, identifying and escalating sensitive items appropriately.
+ Maintain office supply inventory and place orders within budget or as approved.
+ Coordinate department facility and equipment needs, including furniture, printers, and work orders.
+ Serve as subject matter expert for the Action Request (AR) system; generate ARs, prepare weekly reports, track actions to closure, and coordinate dispositioning.
+ Design, maintain, and update the department’s SharePoint site.
+ Initiate contract requisitions and changes; coordinate annual funding activities.
+ Serve as credit card custodian and reconcile monthly billing statements.
+ Register staff for required and optional training.
+ Perform other duties as assigned.
**Skills:**
+ Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Access.
+ Strong administrative, organizational, planning, and time management skills.
+ Knowledge of general to advanced office management practices, including spelling, grammar, punctuation, and standard office equipment.
+ Ability to handle sensitive and confidential information with professionalism and discretion.
+ Strong attention to detail and accuracy.
+ Effective oral and written communication skills.
+ Strong interpersonal skills and ability to interface effectively with staff at all levels, including senior management.
+ Ability to work under pressure, meet tight deadlines, and perform with minimal supervision.
+ Sound judgment, problem-solving skills, and decision-making ability.
+ Ability to work collaboratively as a valued team member and contribute creatively.
**Experience:**
+ Minimum of three (3) years of progressive administrative experience, including independent decision-making responsibilities.
+ Experience supporting management and coordinating departmental administrative functions.
+ Experience with document control, reporting, scheduling, and office coordination.
**Education:**
+ High school diploma or GED required.
+ Additional training or experience with SharePoint and enterprise asset or action tracking systems preferred.
Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.

The expected base salary for this position ranges from $18.00 to $27.00/hour. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, market factors, and where applicable, licensure or certifications obtained. In addition to salary, a competitive benefit package is also offered.
