**Position Overview**
PDS Defense, Inc. is seeking a detail‑oriented **Administrative Assistant I** to support departmental operations in a fast‑paced and confidential environment. The ideal candidate will be proactive, organized, and skilled in managing administrative duties with accuracy and professionalism.
**Key Responsibilities**
+ Provide standard administrative and staff support while maintaining confidentiality
+ Compile and prepare PowerPoint content for scheduled meetings
+ Attend meetings to set up and run presentations
+ Manage calendars, schedule appointments, organize conference calls, and send meeting invitations
+ Coordinate staff, departmental, and corporate meetings; prepare agendas, secure meeting spaces, and take/distribute minutes
+ Compose and prepare confidential reports, correspondence, documents, presentations, and emails
+ Maintain and update spreadsheets, contact lists, and departmental reports
+ Research and gather information from internal and external sources
+ Review, sort, and route incoming and outgoing mail and faxes
+ Prepare expense reports and check requests
+ Organize and maintain department files
+ Order and maintain office supplies within budget guidelines
+ Perform special projects as assigned
**Skills & Qualifications**
+ Strong organizational skills with the ability to manage multiple tasks simultaneously
+ High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
+ Ability to learn additional software programs as needed
+ Background in executive support or office management preferred
+ Strong time management, communication, and attention to detail
+ Ability to write reports, business correspondence, and procedure manuals
+ Associate degree (A.A.) or equivalent from a two‑year college or technical school
+ 1–2 years of related administrative experience
