Administrative Assistant
An opportunity is available in our Fort Myers Branch office for a sharp and versatile Branch Administrator.
Responsibilities:
Client & project setup in the ERP system
Prepare and process project billing, invoices, change orders (COs), and purchase orders (POs)
Handle accounts receivable, collections, and process payables
Update and monitor project budgets
Vendor setup and maintenance of vendor records
Assist HR with onboarding paperwork and related administrative tasks
Order and maintain office and safety supplies inventory
Manage incoming and outgoing mail and courier services
Answer and route incoming phone calls daily
Make word processing edits for and prepare various engineering reports and proposals
Requirements:
Experience working in engineering firm and performing similar responsibilities is preferred
Minimum of one year experience in accounts receivable, accounts payable, and collectionsMinimum of one year relevant & related billing experience preferred.Proficient in Microsoft Word, Excel, and OutlookProven record of billing accuracy and consistently meeting billing deadlines and management objectivesAbility to learn and become proficient with billing in an ERP accounting systemDemonstrated ability to build and maintain cooperative working relationshipsExcellent customer service orientation, verbal communication, and professional writing skillsStrong organizational skills, attention to detail, and ability to multitask effectivelySelf-starter with solid analytical and problem-solving abilitiesStrong analytical and problem-solving skillsFlorida Notary or able to become commissionedReliable attendance and ability to work on-site during regular business hoursWe offer a comprehensive benefits program including medical, dental, vision, life insurance, paid time off, 401(k) with company match, and much more.
