Position Overview

Beacon Hill's client in Chaska, MN is seeking a highly organized and action-oriented team member to provide administrative, customer service, and marketing support. The ideal candidate will be detail-oriented, thrive in a fast-paced environment, and effectively manage multiple priorities. This role supports customer service operations, cross-department collaboration, marketing initiatives, and office administration while maintaining consistent messaging and supporting upcoming initiatives, including a rebrand.

Schedule Information: Hours will initially be 10:00 a.m. to 6:00 p.m. to support West Coast clients. Due to seasonality, hours may transition to 9:00 a.m. to 5:00 p.m. at the end of the season.

Job Responsibilities

Office Administrative Support

Serve as the primary administrative point of contact for office vendors and service providers; coordinate routine service requests, troubleshoot issues, and maintain vendor contacts and contractsProvide day-to-day administrative support for office operations, including facilities coordination, janitorial follow-up, entrance updates, and holiday noticesManage office supply, breakroom, and general inventory needs; coordinate ordering and vendor support to ensure availabilityMaintain offsite storage records and inventory using designated tracking systems or online portalsMaintain standardized administrative documents, calendars, directories, and organizational chartsSupport front desk and office communications, including voicemail management, digital displays, email distribution lists, and general office messagingCoordinate seasonal office activities, including holiday décor setup and removal, service awards, and employee recognition in collaboration with department leadershipProvide general administrative and operational support, including assistance with equipment issues

Customer Service Support

Serve as the primary backup to the Customer Service Manager, assisting with day-to-day tasks and providing coverage during absences or peak periodsSupport order entry and processing in the ERP system, ensuring timely shipment and accurate documentationAssist with invoicing, including customer submission via email, mail, or customer systems, and processing credit and debit memos as requiredRespond to customer inquiries, documentation requests, and order updates; communicate needs, issues, or concerns to the sales team and management to ensure timely resolution and customer satisfactionAssist in coordinating customer freight deliveries and logistics within the freight management systemCollaborate across departments to resolve order delays, production issues, or shipment concerns to support a seamless customer experience

Marketing Support

Assist with the creation and execution of marketing plans and initiativesSupport marketing efforts to improve departmental efficiency and business profitabilityCoordinate with leadership on the implementation of corporate marketing strategiesMaintain effective public relations through customer education and product promotionProvide support for social media, public relations outreach, and other marketing activities as assigned

Education & Experience
