We are seeking a highly organized and proactive Administrative Assistant to support a wide range of office activities and administrative duties. In this role, you will be responsible for maintaining office organization, assisting with document preparation, and tracking project-related information. You will also provide front desk reception tasks and coordinate appointments, meetings, and events. ResponsibilitiesEstablish and maintain office organization, assist with document preparation, filing, and tracking metrics.Provide front desk reception tasks including greeting guests, monitoring the visitor log, and issuing visitor badges.Schedule and coordinate appointments, meetings, and events, maintaining conference room organization and supplies.Prepare, sort, copy, fax, and distribute company correspondence, ensuring confidentiality and urgency.Manage incoming and outgoing mail and packages, including arranging couriers and maintaining employee mail folders.Track interview information, process paperwork for new hires, and maintain confidential company records.Prepare purchase order reports and coordinate purchase order requests, order printer supplies, and track copier usage.Create and distribute general company announcements and coordinate employee events.Maintain professional and technical knowledge by networking and communicating with various stakeholders.Record employee absences and vacations, process employee expense reports, and manage petty cash as needed.Utilize LEAN concepts for continuous improvement and ensure safety and health standards are met.Promote company mission, vision, and values through ethical business practices and high-quality service.Essential SkillsHigh School diploma or equivalent; Associate degree preferred.Minimum 2-3 years of administrative support experience, preferably in manufacturing or construction.Experience handling onboarding processes.Bilingual in Spanish and English.Proficiency in Microsoft Office and familiarity with HRIS and applicant tracking systems.Experience managing confidential information with integrity.Strong collaboration, organizational, and relationship-building skills.Ability to manage workflow and meet deadlines in a fast-paced environment.Excellent written, listening, interpersonal, and verbal communication skills.Strong problem-solving, detail orientation, and customer service skills.Additional Skills & QualificationsExperience with process orientation is preferred.Work EnvironmentThis role operates in a professional office environment and requires full on-site presence. The standard work schedule is Monday through Friday from 6:30 am to 3:30 pm. You will work alongside 14-15 associates daily and utilize standard office equipment such as computers, tablets, and smartphones.

Pay and BenefitsThe pay range for this position is $23.00 - $30.00/hr.
