Machon L'Parnasa, Institute of Professional Studies is looking for an Administrative Assistant. The assistant is responsible for providing overall administrative support to the director at 2002 Ave J, Brooklyn, NY 11210.

Responsibilities

Performs receptionist duties, including:

Answering phones, filing, copying, faxing, and opening and distributing incoming mailMeet and greet visitorsGreets current and prospective students, in person or via phone and emailMust maintain confidentiality in working with student recordsPrepares files for new applicants, checking to be certain all required documentation (regarding admissions, etc) has been includedAnswers or directs, as needed, student inquiries regarding admission and course registrationAssists with general correspondence, memoranda, and applicationsMaintains office calendar and schedules student appointmentsCoordinates, as needed, with the offices of the Registrar, Bursar, Financial Aid, and Admissions as well as departments within IPSAssists in processing student registration each semesterAssists students prepare for graduation by distributing forms, informing students of deadlines, and creating sign-in sheets for graduationAssists in special events, such as open housesPrepares purchase orders and maintains inventory of office equipment and supplies; arranges for repair and maintenance of office equipment as neededCoordinates mass emails sent to current students, alumni, and staffCoordinates room schedules for classes and workshopsMaintains excel spreadsheets with contact information of current IPS students and graduatesStrong attention to detailsAdditional hours may be needed during spring and fall registrationPrevious experience with general office administrative responsibilities and procedures Qualifications Education/ExperienceBachelor's degree preferred.Knowledge/Skills/AbilitiesStrong interpersonal skillsGood communication skills, both oral and writtenExcellent organizational skillsTravelAs needed Maximum Salary USD $52,827.00/Yr.
