Job Title: Administrative Assistant

Job Description

The AP/AR Administrator is responsible for managing both accounts payable and accounts receivable functions. This includes processing payments to vendors, recording payments from customers, maintaining accurate records, and ensuring timely reconciliation of dealership funds.

Responsibilities

Prepare checks and process payment of vendor invoices, including proper account coding.Enter invoices from all departments and research old invoices.Manage sublet inventory and record used vehicle purchases.Process daily floor plan payoffs, monthly floor plan payments, and floor plan reconciliation.Prepare schedules for sublet inventory, accounts payable, and service contracts.Receive and deposit payments, including charge card transactions.Handle monies from vehicle sales, checks for money due, drafts, and charge card payments.File finalized cash receipt records, check stubs, and bank receipts.Prepare monthly accounts receivable statements and related reports.Process daily credit card deposits and reconcile credit card schedules monthly.Research and process charge backs, returns, and bad checks.Answer accounts receivable inquiries and ensure proper follow-up.Update customer account information using computer systems.Post holdback and incentive payment statements.Verify and disperse petty cash.

Essential Skills

Experience with accounts payable and accounts receivable processes.Basic computer skills for entering invoices, updating customer accounts, preparing schedules, etc.Attention to detail for coding invoices, reconciling payments, and maintaining accurate records.Professional communication skills for interacting with employees, customers, and vendors.Ability to handle confidential financial information responsibly.Ability to work independently and as part of a team.

Additional Skills & Qualifications

High School diploma or equivalent.Ability to read and comprehend instructions and information.

Work Environment

Office environment with hours from Monday to Friday, either 8 AM to 4 PM or 9 AM to 5 PM. Business casual dress code. Work within a team of approximately three other people.

Pay and Benefits

The pay range for this position is $20.00 - $25.00/hr.
