Administrative Assistant

We are seeking a highly organized and proactive administrative assistant to support one of the largest tech companies in Boston! This role involves providing high-level administrative support and strategic calendar management, ensuring seamless coordination of events and logistics, and contributing to team morale and dynamics. You will be the first point-of-contact for all team administrative needs and play a vital role in managing team spaces, onboarding new hires, and supporting team-wide initiatives.

ResponsibilitiesServe as the first point-of-contact for all team administrative needs.Provide daily team support, including purchasing goods and services, processing invoices, and managing expense reports.Assist with new hire setup and provide administrative support when cohort members leave the program.Manage distribution lists, security groups, and Teams groups.Offer strategic calendar management and time planning support for team events and meetings.Lead logistics and coordinate MAIDAP cohort onboarding, including communication with new hires and equipment shipment.Plan and support team events, manage logistics, and contribute to team morale.Lead space-management processes and resolve high-level space requests.Determine future space planning needs and drive space changes based on utilization data.Essential SkillsMinimum 5 years experience in event planning and coordination.Minimum 5-7 years experience with Microsoft Office Suite.Minimum 5 years experience with Outlook Calendaring.Strong organizational, interpersonal, and communication skills.Exceptional time management and attention to detail.Ability to handle multiple tasks and prioritize effectively.Experience in email scheduling, word processing, spreadsheets, and presentation software.Additional Skills & QualificationsNo degree required.Ability to lift up to 50lbs.Work Environment

This role is onsite in a fast-paced and professional office in Cambridge. The schedule is Monday to Friday, 40 hours a week, with the possibility of overtime up to 5 hours per week. Free parking is provided at the office, which is a significant perk given the city location. Equipment will be provided by the employer.

This is a Contract position based out of Cambridge, Massachusetts.

Pay and Benefits

The pay range for this position is $31.00 - $36.00/hr.
