Job Title: Assistant for Trade Partner Administration
Job Description

This role involves assisting in the preparation and administration of Trade Partner documents, including contracts and insurance related to construction projects. The position requires securing all necessary approvals and ensuring adherence to company procedures. The role also includes establishing and maintaining Address Book Records (ABR) forms and supporting documents for accuracy in vendor file creation and maintenance.

ResponsibilitiesObtain required documents from trade partners and divisions to complete the Master Trade Partner Agreement (MTPA) and Address Book Records (ABRs).Ensure trade partner insurance compliance by obtaining necessary documents from trade partners and divisions.Create and maintain ABR for non-trade partner and Trade Partner search types.Prepare MTPA and gather required approval signatures using DocuSign.Ensure all received documents are properly and completely filled out.Log and maintain contract documents in designated areas.Manage placement and removal of contract and insurance holds on ABRs.Escalate any deficiencies, long-standing issues, or questions regarding MTPAs or insurance to management.Assist divisions with contract negotiations and maintain change addendums to MTPAs.Perform all other duties as assigned.Set up and maintain address book revisions using JD Edwards.Maintain trade partner documents, exhibits, and insurance compliance.Essential SkillsHigh School Diploma or GED required.Previous experience with contracts, administration, or related areas preferred.Intermediate skills in Microsoft Office, including Outlook, Word, and Excel.Previous experience using Box, DocuSign, ServiceNOW, or other third-party insurance compliance platforms.Exceptional communication skills, both oral and written.Attention to detail and ability to spot errors and inconsistencies.Professional attitude to represent the company positively.Excellent reading and language comprehension.Ability to work collaboratively with a team at all organizational levels.Additional Skills & QualificationsSpanish bilingual is a plus.Experience managing vendor contracts is beneficial.Experience collecting certificates of insurance.Work Environment

This position is on-site Monday through Friday, with shifts from 8:30 AM to 5:30 PM EST or 9:00 AM to 6:00 PM EST. The local team comprises you and one contractor, with a total team size of 19 across corporate offices. The role involves heavy email communication and Microsoft Teams messaging.

Pay and Benefits

The pay range for this position is $20.00 - $20.00/hr.
