Job Description
We are seeking a dedicated Administrative Assistant to support our internal strategies and initiatives across various departments. This role involves collaborating with cross-functional teams to gather updates and metrics for effective communication, maintaining a consistent brand voice, and coordinating internal events.
ResponsibilitiesExecute internal strategies to promote initiatives, tools, and success stories across departments.Collaborate with cross-functional teams to gather stories, updates, and metrics for communication.Distribute promotional materials for events, campaigns, and new technology rollouts.Maintain a consistent brand voice and visual identity for communications.Plan and coordinate internal events such as BU or Division Meetings, innovation showcases, training sessions, and leadership reporting.Manage logistics including venue booking, catering, A/V setup, and attendee communications.Support virtual and hybrid meeting setups, including calendar invites, agendas, and follow-ups.Track attendance and gather feedback to improve future events.Order and manage office supplies, food, and materials for meetings and events.Maintain shared calendars, distribution lists, and internal documentation.Assist with onboarding materials and orientation for new team members.Support budget tracking and invoice processing for marketing and event-related expenses.Essential SkillsAdministrative supportProficiency in SharePoint, Microsoft Office, and Outlook2+ years of experience in internal communications, event planning, or administrative coordinationAssociates’ degree or higher in Communications, Business Administration, or related fieldStrong written and verbal communication skillsAbility to create engaging content on technical and non-technical topicsExperience working in a corporate or technical environment preferredAdditional Skills & QualificationsExperience working in SharePointProficiency in Microsoft Office Suite, Teams, and Adobe SuiteExcellent organizational and multitasking abilitiesComfortable working independently and collaboratively in a fast-paced environmentHigh attention to detail and follow-throughCreative thinker with a passion for storytelling and employee engagementProactive and resourceful problem-solverStrong interpersonal skills and a customer-service mindsetFamiliarity with digital technology concepts or technical environments is a plusWork Environment
This position offers a long-term opportunity with potential for a full-time role in the future. While on contract, consultants will receive Holiday Pay, Shutdown Pay, and PTO. The role involves working in a dynamic and fast-paced corporate or technical environment, where independence and collaboration are equally valued. Dress code is professional, and facilities are equipped with the necessary technologies for virtual and hybrid meetings.
Pay and Benefits
The pay range for this position is $31.00 - $34.00/hr.
